We are currently seeking a compassionate and detail-oriented Surgical Scheduler/Coordinator to join our team. The ideal candidate will excel in patient communication, possess strong organizational skills, and thrive in coordinating the scheduling of ophthalmology surgeries. In this role, you will be the key point of contact for patients, ensuring a smooth and reassuring experience from scheduling to surgery, while collaborating with our clinical and administrative teams to keep everything running seamlessly.
Key Responsibilities:
- Serve as the initial point of contact for patients scheduling surgery, providing clear guidance, answering questions (e.g., surgery duration, pre/post-op instructions), and offering reassurance to ease any anxiety.
- Schedule all ophthalmology surgeries at our facility and coordinate with satellite clinics, adjusting schedules as needed based on physician availability, patient needs, and staff resources.
- Ensure patients are fully prepared for surgery by coordinating preoperative appointments, verifying required tests, and confirming completion of paperwork like consent forms.
- Communicate professionally with patients, physicians, staff, and specialists, maintaining privacy, dignity, and confidentiality in compliance with HIPAA and regulatory standards.
- Coordinate referrals to specialists as requested by physicians and collaborate with the billing department and lens specialists for special lens requirements.
- Prepare and distribute accurate surgery schedules, notifying relevant teams of changes (e.g., cancellations or rescheduling) and ensuring staff and supplies are ready.
- Prepare and submit prescriptions for pre and post-surgery medications, and assist patient with any medication needs.
- Handle additional tasks such as receiving and distributing UPS/FedEx deliveries, participating in supervisor meetings, and collaborating with the Administrator to optimize department operations.
- Perform other duties as assigned to support the team and practice.
Qualifications:
- Excellent communication and interpersonal skills, with a focus on patient care and professionalism.
- Strong organizational abilities to manage scheduling, paperwork, and coordination across multiple teams and locations.
- Ability to prioritize tasks, adapt to changes, and address patient needs with empathy and efficiency.
- Familiarity with medical scheduling processes, HIPAA compliance, and basic insurance/health information is a plus.
- High School graduate or equivalent required
- Associate's degree preferred
- A minimum of two years of medical office experience required
