SUMMARY: The Human Resources Specialist is responsible for providing comprehensive administrative support to day-to-day operations of the Human Resources department, ensuring the efficient delivery of the recruitment process and accuracy of employee data records. HR Specialists work closely with the HR Supervisor, providing a customer focused and effective HR support service to the organization to achieve the organization goals and objectives.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Provide general administrative support such as preparing correspondence, forms, and reports, arranging meetings, composing regular correspondence, processing confidential reports and documents, filing electronic and hard copy, tracking deadlines, and taking down minutes as needed.
- Assisting with maintaining employee files, recruitment relations, records, files, correspondence, and reports.
- Ensuring effective reception or proper approvals on forms and enter changes in the system.
- Keeping employee file records up to date by handling changes in employee status in a timely manner.
- Responsible for all aspects of employee files, including terminations, I-9's, and associated processes.
- Preparing or updating employment records related to hiring, transferring, promoting, and terminating.
- Responsible for explaining and gathering the new employee onboarding paperwork.
- Ensure new hire paperwork is correct, completed, and processed during on-boarding.
- Responsible for original new hire paperwork from outlying areas.
- Prepare new employee orientation folders and send to outlying locations.
- Assist with conducting New Hire Orientations.
- Responsible for processing I-9’s.
- Complete the new hire process in Paylocity.
- Create and assemble all new hire files.
- Responsible for driver report information with ID and DL numbers, along with entering all new drivers into TMT system.
- Responsible for posting all Union overtime bids and following processes for such bids.
- Entering and updating employment status change data.
- Weekly correspondence on 90-day employee evaluations, including reminders.
- Processing employee change forms, ensuring all approval signatures.
- Responsible for tracking and communicating to managers on personal insurance renewals.
- Follow-up on Paylocity entry for accuracy.
- Assisting in maintenance of company master employee list.
- Other tasks as assigned by Management.

COMPETENCIES: Excellent interpersonal and written/verbal communication skills, competent computer skills in use of Word, Excel, PowerPoint, and HRIS systems, with ability to create spreadsheets for analysis and tracking of various information.

- Education and/or Experience: Bachelor’s Degree with two (2) years Human Resources work experience: or equivalent. Manufacturing and/or Distribution Union/non-Union experience preferred.
- Language Skills: Ability to read, analyze, and interpret policies, compliance guidelines, financial reports and other legal documents. Ability to respond to common inquiries or complaints from employees, regulatory agencies, or members of the business community. Must be able to write and give speeches, write articles for publication that conform to prescribed style and format set by the company. Ability to present information to the management team, public groups, and/or board of directors.
- Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. Must be able to compute rate, ratio and percentage; with the ability to develop and interpret graphs used for presentations or reports.
- Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions supplied in both written and verbal format.
- Computer Skills: Microsoft Office (Word, Excel, PowerPoint, Outlook), Great Plains (GP) HRIS System.
