Job Summary
The Support Services Supervisor will oversee the transportation-related activities within the program. Responsibilities include managing transportation staff, coordinating schedules, ensuring compliance with safety regulations, and liaising with other departments/agencies to ensure seamless delivery. The supervisor will also handle transportation-related issues and report to the Program Director.
Duties
Calendar and Schedule Management:
- Coordinate and manage daily schedules for staff.
- Organize and schedule meetings, appointments, and events.
- Ensure timely communication of schedule changes to relevant parties
- Referral and Client Management:
- Manage and track referrals from various sources.
- Maintain effective communication and relationships with biological parents, resource parents, CYF (Children, Youth, and Families), and staff.
- Address client inquiries and concerns promptly and professionally.
- Billing and Compliance Tracking:
- Handle billing processes, including tracking and cross-referencing weekly billable notes.
- Ensure accurate documentation of paid contractor hours.
- Monitor compliance with program requirements and regulations.
- Outcome and Data Tracking:
- Track and analyze program outcomes and performance metrics.
- Maintain accurate and up-to-date data records.
- Documentation and Reporting:
- Maintain weekly notes and encounter records.
- Ensure staff are entering report data in a timely manner to remain in compliance.
- Provide staff coverage as needed for court.
- Supervision and Staff Management:
- Supervise and support staff in their daily responsibilities.
- Provide feedback of performance to program director.
- Identify and report any gaps or need for additional trainings to program director.
- Ensure adequate staff coverage and manage shift schedules.
- Address and resolve staff conflicts and issues in a timely manner.
- Administrative Support:
- Provide general administrative support to the Program Director.
- Assist with special projects and tasks as assigned such as document revisions, tracking forms, online process.
- Maintain organized and up-to-date records and files.
- Ensure visitation outlook calendar, room booking, and vehicle sharing is completed accurately.
- Assistance in Google Voice client management and communications such as scheduling and confirmations.
- Ability to review visitation footage as needed per any incidents and provide feedback to staff. Downloading of footage and saving if needed.
- Promoting a positive and supportive workplace culture.
- Ordering supplies and materials as needed with program director approval.
- Registering staff for trainings with program director approval.
- Compliance audits, periodic reviews, and file maintenance (creating new files, regular weekly maintenance, closing files)
- SSA tracking
- Participation in supervision
Requirements
- Bachelor’s degree in Business Administration, Social Work, or a related field preferred.
- Minimum of 3 years of administrative experience, preferably in a social services or related field.
- Previous supervisory experience is highly desirable.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to handle sensitive and confidential information with discretion.
- Detail-oriented with strong problem-solving abilities.

Pay: $50,000.00 - $52,000.00 per year
