Description:
DEFINITION:
The Office Manager is employed for full-time or part-time services at the discretion of the President. The Secretary serves under the direct supervision of the Facility Director and/or the Project Director.
TASKS, DUTIES, AND RESPONSIBILITIES:
The Office Manager’s tasks shall include, but are not limited to the following:
- Assist the Facility Director with the business of the office.
- Monitor and complete authorizations with insurance companies and local SCAs prior to and during the clients treatment.
- Monitor client Medical Assistance eligibility daily for specified clients.
- Assist clients with filing out of appropriate insurance forms.
- Prepare monthly billing invoices and submit them to the Corporate Office by the specified day.
- Facilitate and organize office systems in a manner which enables clear communication among all supervisors/staff.
- Responsible for typing, copying, and filing.
- Answer phones and great visitors in a pleasant and professional manner.
- Process all incoming and outgoing correspondence.
- Complete client status reports and client rosters and Master client lists.
- Process monthly supply orders once approved by the Program Manager and Regional Director and forward to the Corporate Office.
- Handle all client information in a confidential manner, as per HIPPA law 255.5
- As needed supervise office secretary.
PHYSICAL REQUIREMENTS:
- Ability to complete training in Safe Crisis Management and implement its practices and techniques in accordance with Agency policy.
- Capable of driving company vehicles as needed.
- Ability to complete and pass training in First Aid and CPR.
SKILLS, KNOWLEDGE, AND ABILITIES:
- Ability to accurately type approximately 65 words per minute.
- Possess exceptional working knowledge of computer software and hardware operations.
- Create spreadsheets, databases, and forms, within the software provided.
- Proficient in all office procedures and equipment operations.
- Work independently in the completion of assignments.
- Possess excellent written and verbal communication.
- Handle multiple tasks and projects in an organized manner.
- Possess positive values and ability to exhibit good moral judgment
- Ability to comprehend and abide by the Agency Code of Ethics.
EDUCATION AND EXPERIENCE:
- Minimum of high school diploma or GED. Proof of education is required.
- Previous secretarial experience required.
- Must be 21 years of age or older
