Position Summary:

The Day Center Manager is responsible for the smooth and effective operation of the PACE KC Adult Wellness Center. This includes overseeing participant arrivals and departures, meal services (breakfast and lunch), activities, and personal care services such as bathing and toileting. The role ensures the Day Center is a welcoming, supportive, and enriching environment for participants while maintaining high operational standards.

The Day Center Manager supervises CNAs and direct care staff, coordinates scheduling to ensure proper staffing, and steps in to provide hands-on care when necessary. This individual will also collaborate with interdisciplinary team (IDT) members, manage compliance with health and safety regulations, and foster a participant-centered culture of care and respect.


Primary Functions/Responsibilities:

1. Day Center Operations Management:

  • Oversee the daily operations of the PACE KC Adult Wellness Center, ensuring services are delivered in a manner that is person-centered, compassionate, and in line with PACE program goals.
  • Develop and implement operational procedures for the Day Center, ensuring compliance with regulatory standards and best practices.
  • Ensure the Day Center is adequately staffed, equipped, and resourced to meet the needs of participants.
  • Manage scheduling, meals, activities, and transportation services for participants, ensuring efficiency and participant satisfaction.
  • Supervise meal services, ensuring food safety compliance and participant satisfaction.
  • Coordinate personal care services, such as bathing and toileting, ensuring dignity and respect for all participants.
  • Ensure Day Center activities align with participant interests and support their physical, social, and emotional well-being.

2. Team Leadership & Staff Supervision:

  • Conduct staff training and development to ensure team members are knowledgeable in PACE program protocols, patient care techniques, and safety measures.
  • Provide coaching, feedback, and performance evaluations for Day Center staff to ensure high standards of care.
  • Supervise CNAs and direct care staff, ensuring adequate staffing levels and appropriate scheduling.
  • Step in to perform CNA duties or direct care tasks as needed during staff shortages.

3. Participant Care & Support:

  • Ensure the physical, emotional, and social well-being of Day Center participants.
  • Foster an environment where participants feel valued, respected, and supported.
  • Address participant and family concerns promptly, collaborating with IDT members to resolve issues effectively.
  • Monitor participant satisfaction, implementing improvements to enhance the Day Center experience.

4. Quality Assurance & Compliance:

  • Monitor and evaluate the Day Center's operations to ensure compliance with PACE program standards, federal, state, and local regulations.
  • Conduct regular audits and assessments of Day Center services, identifying areas for improvement and implementing corrective actions when necessary.
  • Maintain a safe and clean environment, adhering to all health and safety protocols.

5. Collaboration & Communication:

  • Serve as a liaison between participants, their families, caregivers, and interdisciplinary team members.
  • Participate in interdisciplinary care team meetings, case conferences, and care planning meetings.
  • Communicate with the Director of Operations and relevant Directors about Day Center operations, staffing needs, and participant progress.

6. Administrative Duties:

  • Ensure accurate and timely documentation of participant activities, progress notes, and incidents.
  • Prepare and submit reports related to Day Center operations, staffing, and participant outcomes as requested by management.
  • Maintain records in compliance with PACE program policies and confidentiality regulations.
  • Manage supply inventory and monitor the use of equipment and resources to ensure cost-effective operations.
  • Assist with budget planning and management for Day Center activities and operations.
  • Monitor the use of supplies, equipment, and resources, ensuring cost-effective management.

Supervisory Duties and Responsibilities:

  • Directly supervise CNAs and other direct care staff to ensure quality service delivery and adherence to PACE KC standards.
  • Coordinate staffing schedules to maintain adequate coverage and ensure uninterrupted operations of the Day Center.
  • Provide clear direction and support to staff, addressing performance issues promptly and constructively.
  • Facilitate regular team meetings to communicate goals, expectations, and updates regarding Day Center operations.
  • Foster a collaborative and positive work environment that encourages professional growth and teamwork.
  • Monitor staff compliance with organizational policies, procedures, and regulatory requirements, including training and certification renewals.
  • Step in to perform CNA duties or direct care responsibilities when necessary to ensure participant needs are met.

Education, Certification, and Experience

Minimum

  • Minimum of 5 years of managerial experience, preferably in a PACE program, adult day care, or similar healthcare setting.
  • Valid Food Handler’s License issued by the KCMO Health Department (or ability to obtain upon hire).

Desired

  • Experience supervising and managing CNAs and direct care staff in a healthcare setting.
  • Strong knowledge of geriatric care and interdisciplinary care coordination.

Knowledge, Skills, and Abilities:

  • Strong leadership and team management skills, with the ability to coach and motivate staff effectively.
  • Exceptional communication skills to work seamlessly with participants, families, staff, and IDT members.
  • Flexibility and willingness to perform hands-on care as needed to ensure continuity of service.
  • Commitment to delivering participant-centered care and maintaining high service standards.
  • Knowledge of healthcare compliance and safety regulations, including food safety protocols.
