Job Title : Receptionist Supervisor : HR Director Positions Supervised : None Pay Range : To be determined FLSA Status : Non-exempt / Full Time Job Summary Under the supervision of the Director, HR, the Receptionist promptly and professionally attends to PACE visitors, participants and staff members. The Receptionist addresses telephone inquiries and routes calls to appropriate staff members and / or vendors. The Receptionist also relays organizational information to the general public, participants and families as directed. As needed, the Receptionist also provides clerical assistance to designated leadership team members. Specifications Education and Training : High school graduate or its equivalent. Experience : Requires 1-2 years of receptionist experience. Licensure, Registry or Certification required : None. Knowledge, Skills, and Abilities : Able to follow instructions and pre-established guidelines to perform the functions of the job. Excellent internal and external customer service skills. Computer skills (Word, Excel, PowerPoint, Microsoft Outlook, Office 365, Data entry and Publisher); standard office equipment operation; establish priorities and handle workflow with frequent interruptions; attention to detail; flexible and able to work well with others. Must possess excellent written and verbal communication skills. Takes initiative and is reliable. Ability to represent the organization professionally; able to read, write and speak English. With or without reasonable accommodations : Must be able to bend, stoop, stretch, stand and sit for extended periods. Possess sufficient manual dexterity to operate keyboard and other office equipment, sit for majority of assigned work time; ability to lift heavy packages / bundles of approximately 30 pounds. Key Responsibilities Front Desk Coverage : Answers multi-line telephone system, screens and direct calls accordingly. Takes and relays messages. Provides information to callers as directed and according to pre-established guidelines. Monitors the sign in and sign out process, which includes, but is not limited to greeting individuals, directing individuals to the correct destination and monitoring participants in the lobby. For safety and security purposes, the Receptionist must carefully monitor incoming and outgoing traffic in the front lobby area. The Receptionist also actively participates in the evacuation process, which includes, but is not limited to quickly disengaging the @Guard system, retrieving sign-in books, exiting the facility and verifying participants and staff members have also exited the facility safely. The Receptionist handles queries from the public and participants and families as directed. The Receptionist monitors staff movements in and out of the organization. The Receptionist also tidies and maintains the reception area. Clerical Support Provides general administrative and clerical support. Prepares letters and documents as directed. Receives and sorts mail and deliveries as directed. Schedules appointments and maintains appointments either manually or electronically. Schedules meetings as requested. The Receptionist also completes other duties as assigned. Environmental Factors None Demonstrates knowledge of and supports PACE mission, vision, values, standards, policies and procedures, operating instructions, confidentiality standards, and the code of ethical behavior.
