Position Overview:
The Service Administrator will be responsible for managing various administrative tasks related to service operations, including invoicing, customer service, scheduling, and more. This role requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks effectively.
Key Responsibilities:
- Invoicing:
- Prepare and issue invoices for services rendered, ensuring accuracy and timely delivery.
- Monitor and follow up on outstanding payments and resolve any billing discrepancies.
- Customer Rebuilds:
- Assist in managing customer rebuild projects, including coordination with technicians and tracking progress.
- Provide updates to customers regarding the status of their rebuilds and address any concerns.
- Scheduling Semi Drivers:
- Organize and manage schedules for semi drivers to ensure efficient operations and timely deliveries.
- Communicate with drivers to confirm schedules and address any changes or issues.
- Lock Checks:
- Perform regular lock checks on trailers and vehicles to ensure security and compliance.
- Report any issues or discrepancies and coordinate necessary actions.
- Inspecting for Visible Damage:
- Conduct visual inspections of trailers and vehicles for signs of damage or wear.
- Document and report any findings to ensure prompt repairs or maintenance.
Qualifications:
- Previous experience in an administrative or service-related role is preferred.
- Basic understanding of trailer and vehicle maintenance is a plus.
- Experience utilizing Karmak, or any other ERP system, is preferred.
- Proficiency in using office software and equipment (e.g., MS Office, email, scheduling tools, etc.).
- Strong organizational and multitasking abilities with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
Physical Requirements:
- Must be able to lift/carry up to 25lbs.
- Must be able to sit, work on a computer, or talk on a phone for long-periods of time.
