In this position, you will coordinate the delivery of ocean containers from the local ocean port or rail ramp to the Pacific Cycle distribution center. This position requires constant and detailed communication to make sure shipments are delivered timely. Daily challenges occur as logistics is impacted by multiple variables; such as, weather, economic factors, supply chain partners, and changes in business strategy.

Daily Responsibilities
- Coordinate the arrival and oversee unloading of all inbound containers, LCL shipments and air freight from ocean port, rail ramp, or airport
- Log all inbound freight including containers, truckloads, parcel carriers, and air
- Make sure container or shipment release is issued timely by carrier to dray carrier and that containers or shipments are made available at ocean port, rail ramp, or airport
- Manage full and empty pools of containers and keep per diem and bobtail-deadhead costs to a minimum.
- Maintain Per Diem Last Free Day Tracking in Daily Report
- Charge back dray carriers if containers are not properly returned to ocean port terminals or rail ramps within the free time
- Provide daily reports of empty containers, full containers, in-transit containers to Operations staff daily
- Ensure dray carriers receive dispatch reports with daily delivery requirements
- Work closely with outbound logistics team & Warehouse Supervisors to prioritize inbound based on outbound requirements.
- Create TO's as needed and/or distribute to warehouse personnel.
- Ensure empty containers and chassis are returned in the allotted free time.
- Coordinate communication between Ocean Port Terminal and/or Rail Ramp Terminals and Dray/Rail carriers regarding one-stop container piles, free flow piles, pre-mounted containers, appointment containers, appointment exempt containers, and/or Train Blocks if need be (depends on DC location).
Daily & Weekly responsibilities to Support Madison Inbound department
- Track shipments using Big Schedules, Marine Traffic, My Maersk, Ocean Carrier websites, and Forwarder Emails/Reports
- Update Logistics Managers of incorrect ocean services used and their transit time
- Trace inbound containers/LCL shipments and update SAP delivery dates (Warehouse ETAs) and SAP vessel dock dates as necessary.
- Perform timely and accurate data entry into SAP (date changes, vessel name changes)
- Inform Logistics Manager/Logistics Specialists/Customer Service/Planning and Sales Departments of late deliveries for ocean, rail, or air shipments via weekly SAP reporting
- Report missing International inbound deliveries and shipments to Logistics Analysts
- Create inbound deliveries and shipments as needed in SAP
- Establish Dray carrier performance metrics to hold accountability and provide input on dray performance to Logistics Manager (full container and LCL)
- Provide input to Logistic Manager regarding factory container loading performance (full container and LCL)
- Document any incidents of non-compliance in regard to container loading, slip-sheeting, damage, overages / shortages, UN/hazardous compliance, or documentation deficiencies / discrepancies.
- Submit claims to ocean carriers for damaged product due to bad container equipment or operational negligence.
Customs Compliance:
- Assist with inbound delivery and shipment data entry to supplement Foreign Trade Zone compliance
- Be liaison to Customs and Border Patrol (CBP) Officers for FTZ walk-throughs and audits
- Possess knowledge on FTZ compliances for CBP Audits
- Report to FTZ Manager and Administrator, Logistics Analysts, Sr. Logistics Manager any FTZ or CTPAT compliance breeches
- Educate and Guide warehouse staff on FTZ security operating procedures
- Maintain CTPAT security operating procedures for warehouse staff to follow
- Perform CTPAT inspection on all incoming/ outgoing containers
- Enhance and update CTPAT standard operating procedures on a quarterly basis with assistance from Logistics Analysts
Cost Control: Per Diem/Demurrage/Pre-Pulls/Storage/Bobtails and more
- Report risk of Per Diem-Detention Cost Exposure to Logistics Analysts and Sr. Logistics Manager
- Research per diem-detention invoicing upon requests of Sr. Logistics Manager or Logistics Analysts (charge back dray carrier if responsible)
- Dispute with ocean carrier any incorrect per diem bills
- Input actual container events in SAP accurately and timely to assist with per diem auditing
- Report all Customs Holds or Exams to the FTZ Team and/or 3rd Party Broker
- Report all Freight Holds to Logistics Analysts and Ocean Carriers
- Escalate any Last Free Day containers at the port or rail ramp to Logistics Analysts and Ocean carriers asking for Last Free Day Extension
- Escalate any Containers in Demurrage to Logistics Analysts immediately
- Audit and review all pre-pull/storage/and bobtail costing as it pertains to the Distribution Center. Send to Sr. Logistics Manager for final approval
Other Duties Assigned:
- Prepare both internal and external agendas and meeting action items, before and after department conference calls with supply chain partners.
- Assist with management and organization of files and SOPs on the company shared drive.
- Follow internal controls and company policies set by Pacific Cycle Inc. and Pacific Cycle.
- Contribute to the success of Pacific Cycle Inc. by leading or assisting with other projects and tasks as assigned.
- Model the Pacific Cycle behaviors and support the Pacific Cycle business strategy.

- Minimum two (2) years clerical experience.
