Job Summary:
We are seeking a highly organized and creative Event Coordinator to manage all aspects of event production, from concept to execution. The ideal candidate will be responsible for planning and executing a wide range of events including corporate functions, conferences, trade shows, private parties, and more. This role requires exceptional project management skills, attention to detail, and the ability to deliver outstanding experiences that align with business objectives and exceed expectations.
Essential Duties/Responsibilities:

Plan, coordinate, and execute events such as conferences, product launches, trade shows, corporate meetings, fundraisers, and private functions.

Manage event budgets, timelines, and logistics

Collaborate with clients or internal stakeholders to define event objectives, scope, and desired outcomes

Source and negotiate with suppliers and vendors to ensure best quality and pricing

Oversee all event details including invitations, catering, transportation, AV, and decor

Monitor and manage event setup, execution, and teardown

Handle last-minute changes or issues calmly and efficiently

Track event success through post-event evaluations and reporting

Ensure compliance with insurance, legal, health and safety obligations

Assist with office admin as needed
Education:
Bachelor's degree in Event Management, Hospitality, Marketing, Communications, or a related field or equivalent work experience.
Experience:

Proven experience (1-3 years) planning and executing professional events.

Strong organizational, multitasking, and project management skills.

Excellent communication and interpersonal abilities.

Proficiency in Microsoft Office, Canva, CRM, project management and event management tools (e.g., Eventbrite, Social Tables, Monday.com, Zoho).

Creative mindset and attention to detail.
Other knowledge, skills, and abilities:

Experience with virtual and hybrid events.

Knowledge of AV equipment and technical event production.

Must be able to obtain security clearance

Familiarity with marketing and social media strategies for event promotion

Strong negotiation and problem-solving skills
Work environment:

Must have a valid driver’s license

Ability to lift up to 50lbs

May require standing (and /or walking around) up to 8 hours

Regular work week is on-site in Honolulu office to assist with office admin

Travel to events, on-site at events

Occasional evening and weekends required
Compensation:
Competitive salary based on experience. Range $55k-$65K Bonus Opportunities
