The Assistant Executive Director works in tandem with the Executive Director to oversee all operations of the Assisted Living and/or Residential Care Facility. This is a multifaceted role that requires a high level of engagement with residents, employees, senior management, and the community. This role is the main source of support for the Executive Director and requires organization, motivation, and determination to get the job done. The Assistant and the ED will work together to balance each others strengths and weaknesses to find great stability for their team.

Position Details

  • Full-time, in person, non-exempt position
  • Hourly rate: $22.00 - $25.00
  • Bonus Opportunities:
    • $100 stable occupancy bonus
    • Employee referral bonus opportunities
  • Mileage reimbursement for required travel

Essential Duties and Responsibilities

  • Assist the ED in discussing terms, conditions, and cost for residency.
  • Help perform assessments on potential residents to determine level of care and individualized service plan.
  • Work with residents, families, loved ones, and staff to admit, discharge, and handle the day to day needs of the residents.
  • Work the floor as a caregiver or med tech to fill regularly scheduled shifts and open shifts if needed.
  • Train new hires as required.
  • Ability to be on call on the opposite weekends as the ED
  • Communicate in a professional and friendly manner with residents family and loved ones.
  • Keep the property in good working order. Document service needs and make requests for repairs as needed.
  • Prepare periodic inventory of building contents and property conditions.
  • Ensure that adequate supplies are available for all departments. Review all purchases by departments to ensure that company purchase procedures and budgets are being followed.
  • Help hire and staff the facility 24 hours a day, 7 days a week. Supervise employees and department heads in accordance with organization policies and applicable laws.
  • Coordinate and oversee the orientation and training of new employees. Ensure that all staff members are familiar with their duties and are following prescribed training programs.
  • Coordinate interdepartmental teamwork. Encourage and provide opportunities for employee cross-training and staff development.
  • Review and approve all schedules, in coordination with your ED, ensuring that there are adequate staffing patterns to meet resident needs and Oregons Acuity Based Staffing Tool.
  • Integrate yourself in the community to network with and market to potential referral sources.
  • Follow the company medication program for each resident who requires assistance with medication; pass medications as prescribed by the attending physician when needed.
  • Maintain a positive and collaborative attitude when faced with a multitude of challenges.
  • Occasional travel is required.
  • Ensure that facility policies and procedures are followed.

Education and/or Experience

  • Drivers License, good driving record, and proof of insurance
  • Two years experience providing care to persons in a community based or long-term care setting or have a minimum of two years education in a health-related field, or a combination thereof;
  • High school diploma or GED required
  • Familiarity with state residential care rules and regulations
  • Knowledge of the facility policies and procedures per state guidelines
  • Knowledge and proficiency in data entry/extraction.

Legal Requirements

Employees in this position must successfully pass all governmental and corporate required background investigations, such as, but not limited to, state required criminal history clearance investigations.

Education and/or Experience

  • High school diploma or general education degree (GED)
  • One to three months related experience and/or training with working with seniors
  • Basic computer skills/knowledge
  • Valid CPR, First Aid and Food Handlers cards (can be acquired during the hiring process)
  • Pre-Service Universal Caregiver training is required but part of your onboarding and training.
  • Ongoing training is provided by the Executive Director and Oregon Care Partners to ensure the highest level of care and adherence to state regulations.
