General Description :
This position is a hybrid administrative and dispatching role within the Campus Safety Department at Pacific Lutheran University. As a front-facing position, it prioritizes providing excellent customer service and professionalism while supporting PLU students, faculty, and staff. Campus Safety is one of the most visible departments on campus, playing a key role in welcoming visitors and ensuring the smooth operation of daily campus activities. This role is crucial in assisting the Director of Campus Safety and the department by coordinating with internal and external resources, managing records, and handling both emergency and routine calls. The position reports to the Executive Director of Campus Safety & Emergency Management. Essential Functions and Responsibilities :
- Responsible for overall office flow, such as answering the telephone for routine and emergency calls and routing / dispatching calls to professional and student staff in the field, greeting visitors, scheduling appointments and meetings, sorting mail, responding to emails, and processing invoices.
- Contact internal and external resources, including police and fire (911) during emergency situations.
- Accurately gather and record information from reporting parties and responding officers; maintain various activity logs.
- Operate campus alarm systems and emergency notification systems.
- Maintain information collected for the parking enforcement program to include maintenance of the vehicle registration database, data entry of issued tickets and follow-up on unpaid tickets.
- Compile and submit daily and monthly billing for parking violations.
- Maintain payroll check requests for off-duty Pierce County Sheriff’s Deputies.
- Compile and submit student and staff payroll forms including applications and change of status forms.
- Oversee and maintain all clerical support and accounting operations of the department.
- Respond to inquiries / complaints in accordance with established policy and procedures.
- Maintain PLU carpool program.
- Establish rapport and communications with numerous PLU departments.
- Utilize the Card Access Management System to troubleshoot or solve minor card access management issues.
- Assist the Director with administrative functions including personnel records and hiring procedures.
- Assist the Director with preparation and monitoring of the annual departmental budget, as well as request adjustments and transfers within the budget as needed.
- Prepare letters, memos and reports as requested by the Director.
- Maintain office systems and supplies.
- Act according to training and procedure, in the office setting as needed, during emergency response situations.
- Perform other duties as assigned.
