We are seeking a dedicated and organized Office Administrator to join our Nevada team. We pride ourselves on creating a collaborative, positive environment and are looking for someone who shares that vision.
- Administrative Support: Managing schedules, organizing meetings, and assist in the onboarding of employees, vendors, and clients
- Assist with travel bookings for executive and production Teams
- Assist with recruiting schedules and interviews
- Assist Accounting/Finance, Contracts Team, and HR respectively with onboarding vendors, clients, and employees
- Document Management: Assist in management and submittal of cross office documents to the Headquarter AZ office such as received employee paperwork, production reports, receival tickets, receipts, etc. Organize and maintain files, both physical and digital, ensuring proper documentation and record-keeping.
- Communication: Acting as a point of contact for internal and external communications, including answering phones, responding to emails, and handling inquiries.
- Assist in managing 1-800 number as it pertains to local office
- Manage assigned Company emails including “Info” as it pertains to local office and personal
- Office Management: Overseeing day-to-day office operations, including maintaining office supplies, office equipment with IT, and facilities maintenance.
- Social Media: Support social media marketing
- Work alongside local market and Headquarter office administrator to gather marketing materials (photos, local market data, etc)
- Develop social media marketing campaigns including recruiting efforts for local market
- Safety Team Support: Help coordinate with Production & Safety Teams for safety training sessions in local market. Assist in distributing related materials to and from Employees and Safety Management. Assist in maintaining safety-related equipment inventory and ensure proper usage and documentation.
- Fleet & Tooling Support: Assist in maintaining accurate records of fleet and equipment inventory by receiving and supplying necessary documentation to and from Headquarter Team, including contracts, maintenance schedules, inspection logs, assignment data, etc.
- Recruiting & Onboarding Support: Assisting with recruitment scheduling between production & HR, onboarding new employees alongside HR Manager to support local market to include hand off of Company Assets, emblematic gear, etc.
- Event Coordination: Organizing company events, meetings, or training sessions, including logistics and catering in accordance with Executive leadership requests.
- Data Entry and Reporting: Inputting data into systems, generating reports, and ensuring data accuracy.
- Problem Solving: Addressing and resolving administrative issues as they arise, often acting as a liaison between departments.
- Compliance and Safety: Ensure office facilities are compliant with legal and safety regulations

- Experience: Proven experience in office administration or a related field, with a solid understanding of office procedures, practices, and confidentiality.

Conditions & Physical Demands:
This position is primarily based in a clerical office setting and involves predominantly sedentary work. Standard office equipment such as computers, phones, printers, copiers, and filing cabinets will be utilized, with occasional lifting of files or computer equipment, bending, walking, and other minor physical tasks.
