We are looking for an Operations Coordinator who will support the efficient management and coordination of the company’s fleet, equipment, safety programs, and tools. This position will work closely with the Fleet and Safety Managers and will ensure that all operational activities, from fleet maintenance to safety compliance, are running smoothly. The Operations Coordinator will play a key role in optimizing processes, ensuring adherence to safety standards, and maintaining tools and equipment in good working condition for daily operations.
Key Responsibilities include but may not be limited to:
Fleet Management Support:
- Assist in scheduling and coordinating regular maintenance, repairs, and inspections of company vehicles.
- Track fleet inventory, including vehicles' location, status, and usage.
- Help maintain vehicle logs, compliance records, and repair history.
- Work with vendors and suppliers to ensure timely and cost-effective procurement of parts and services.
- Coordinate with drivers for fleet-related queries and scheduling.
Equipment Management Support:
- Support the coordination and tracking of equipment inventory, including scheduling maintenance and repairs.
- Ensure proper storage, transportation, and handling of equipment.
- Assist in maintaining accurate equipment usage records.
- Work with the Fleet Manager to plan for equipment upgrades or replacements.
Safety Program Support:
- Assist with monitoring and ensuring compliance with safety protocols and regulations.
- Help maintain safety records and ensure they are up to date (e.g., vehicle safety inspections, employee training certifications, etc.).
- Coordinate safety audits and inspections for fleet vehicles and equipment.
- Assist in organizing and scheduling safety training and certification programs for employees.
Tool Management Support:
- Assist in managing and tracking tools and other assets within the organization.
- Work with teams to ensure proper inventory levels and handle tool allocation and return.
- Support tool maintenance and ensure tools are operating safely and efficiently.
- Collaborate with the Safety Manager to ensure tools meet safety standards.
Administrative Support:
- Prepare reports, data analysis, and documentation related to fleet, equipment, safety, and tool management.
- Assist with scheduling meetings, training sessions, and audits.
- Provide general administrative support to the Fleet and Safety Managers as needed.
Qualifications:
- 2 years of experience in fleet management, safety compliance, equipment management, or similar operational roles.
- Valid driver’s license
- Ability to lift heavy equipment and tools as necessary.
- Experience with managing inventories, coordinating maintenance schedules, and working with vendors is preferred.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Ability to work collaboratively with other departments and teams.
- Excellent organizational skills with the ability to prioritize and manage multiple tasks effectively.
- Strong communication skills, both written and verbal.
Preferred Qualifications:
- Bachelor’s degree in Business Administration, Logistics, Operations Management, or a related field
- Familiarity with fleet management software or asset tracking systems.
- Familiarity with OSHA safety standards and regulations.
- Fleet management or equipment management certifications.
Working Conditions:
- Ability to work in various environmental conditions (in-office, outdoors, construction sites, loud machinery, etc).
- Flexible working hours may be needed to coordinate maintenance or safety training sessions.
- Some tasks may require working in industrial or warehouse environments, with the use of personal protective equipment (PPE) as needed.
- Ability to lift up to 50 lbs and perform manual tasks related to equipment and tools.
- Ability to sit, stand, and walk for extended periods during inspections and field visits or while in office.
- Ability to safely operate and work around construction equipment, machinery, and vehicles with strong visual and auditory awareness with or without the use of corrective lenses and or hearing devices.
Pay Range: $22.00 - $30.00 (DOE)
