GENERAL DESCRIPTION OF POSITION

Student Engagement and Inclusion comprises several student-focused co-curricular programs, including undergraduate and graduate student governments, Student Multicultural Center, Center for Gender Equity, Outdoor Pursuits, and outreach programs for students from historically marginalized groups. As a member of this team, the program coordinator develops and maintains regular recreational activities and event-based programming in concert with these various Student Engagement areas to foster a rich campus experience and student involvement opportunities that lead to a sense of belonging. The program coordinator serves as the adviser to the undergraduate senate’s student programming board– ACE Board, which hosts and develops large-scale, fun activities to engage all students, such as open mic nights, live concerts, touring performers, movies, and cultural entertainment. ACE Board manages sound, lighting, and other technical services and equipment to produce these events and to sponsor and guide other student groups in successful production of similar events.

 

 

This is a full-time, in-person (not remote) position based on the Forest Grove Campus.

 

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Advise the student programming board (ACE Board) in all aspects of developing regular, engaging evening and weekend activities, cultural, and entertainment events, open and inclusive to all students.
  • Recruit, train, supervise, and mentor ACE Board student leaders, production team members, and other student workers.
  • Supervise a team of students who set up, operate, strike, and care for professional-grade audio and lighting equipment, including ensuring safe setup.
  • Administer the ACE Board budget, including helping students to estimate and plan expenditures for traveling performers, rental equipment or contract personnel, movie licenses, and other significant event expenses.
  • Serve as an administrative user on the campus scheduling system (Accruent EMS), including assisting ACE Board and other student organizations in making timely and purposeful space and event equipment reservation requests; communicating regularly with other campus event partners regarding planned space usage.
  • Draft contracts for performing artists, musicians, and lecturers, according to University procedure.
  • Provide leadership and training workshops for student employees and student organization leaders in collaboration with other staff on the Student Engagement and Inclusion team.
  • Guide and assist student organization leaders in following University policies regarding hosting events, advertising activities, and financial expenditures; approve or decline expenditures and event operations as warranted.
  • Participate in ongoing student affairs assessment activities.
  • Develop policies and protocols for student organization recognition and development.
  • Manage a portfolio of activities and benefits with local vendors for undergraduate and graduate students in Forest Grove and Hillsboro. Work in collaboration with these partners to ensure a high level of student use and value. Manage invoices and usage tracking for these activities.
  • Maintain planning calendars and other planning resources for large student events.
  • Develop outreach, communication and promotional strategies to involve students in campus activities.
  • Provide backup support to the undergraduate and graduate student senates.

 

 

SECONDARY FUNCTIONS

  • Provide back-up and support to other members of the Student Affairs team as needed.
  • Support Student Affairs programming such as Orientation, Convocation, and Commencement.
  • Participate in the Student Affairs on-call rotation as appropriate.
  • May serve on student affairs and university committees and task forces as appropriate.
  • Provide summary reporting and information as requested.
  • Contribute to strategic planning, training of staff, and professional development within Student Affairs.
  • Perform other related duties as assigned.

Qualifications


EDUCATION AND/OR EXPERIENCE

 

Required:

  • One-three years of relevant experience in student affairs, advising student organizations, or event planning and promotion.
  • Bachelor’s degree in related field (e.g., education, recreation management, social sciences, business)

 

 

Preferred:

  • Master’s degree in related field (e.g., student affairs, education, recreation management, social work, business)
  • Experience working in a higher education setting.
  • Experience with professional audio-visual equipment.

 

 

KNOWLEDGE, SKILLS, AND ABILITIES

  • Ability to demonstrate a commitment to equity, diversity and inclusion.
  • Knowledge of student development theory and student services best practices preferred
  • Ability to be student-centered and approachable.
  • Must be capable of maintaining ethical and legal standards of confidentiality and privacy
  • Ability to work effectively with a wide range of constituents, including students, staff, faculty, and community members.
  • Ability to meet deadlines, be detail-oriented, and work independently as well as part of a team.
  • Excellent written and interpersonal communication skills, including ability to make presentations and facilitate group discussions.
  • Ability to perform regular program evaluations, with input from student participants and external stakeholders and partners.
  • Flexibility and ability to work autonomously in program development and maintenance, and also to collaborate effectively with interdisciplinary teams.
  • Must be able to work occasional flexible hours, evenings/weekends as needed, to support programming.

 

 

SUPERVISOR RESPONSIBILITY

  • Will recruit, train and supervise student employees.

 

 

WORKING CONDITIONS

Typical office environment. Flexible schedule with expectation to work evenings and weekends to support and supervise student activities.
