  • Supervise Reception Team members at both campuses.
  • Assist with the hiring of new reception positions and sit in on interviews.
  • Manage receptionists’ schedules ensuring adequate coverage of front desks at both campuses.
  • Serve as a substitute receptionist, covering the front desks when needed.
  • Train new hires, and complete their three-month evaluations
  • Oversee training and utilization of student check in system (checking students/guests in and out of the system, print back-up guest logs)
  • Assist reception with checking in guests on busy days.
  • Take the lead on Shipping and Receiving
  • Ensure continued phone triage and operations; monitor the switchboard.
  • Ensure operation of copy and printer equipment by troubleshooting malfunctions, calling for repairs and toner refills
  • Maintain inventory of the supply and workrooms.
  • Anticipate supply needs: approve of and place supply orders, verify receipt of supplies
  • Scan and file safety logs, incident reports and daily reception recaps.
  • Manage and oversee Lost and Found items.
  • Co-lead weekly team meetings.
  • Oversee receptionists in their duties:
  • Welcoming students and guests, distributing and collecting room keys, assisting visitors with directions and providing information about programs and services, answering phones/directing calls, scheduling massages and working with therapists/ clients, signing safety logs, creating incident reports, submitting daily recaps, logging and tracking lost & found items, maintaining tea table & related inventory, keeping reception areas tidy, attending team and Pacifica meetings, managing parking assignments at Lambert
  • Oversee and maintain the bookstore in regards to sales, returns, stocking, purchasing and reporting.
  • Train reception staff on bookstore sales
  • Communicate and provide the VP OSESS and or Business Office with sales reports as needed
  • Conduct yearly inventory for Bookstore
  • Plan and review Bookstore annual budge
  • Supply employee lounges at both campuses with drinks and snacks

ADMISSIONS AND STUDENT SERVICES
ADMISSIONS CALL CENTER,TOURS, AND ON-CAMPUS EVENTS

  • Answer Admissions general inquiry phone calls and provide outstanding student-centric service to applicants and prospective applicants.
  • Communicate effectively when working with prospective, future and current students while avoiding misrepresentation at all times.
  • Respond to all new inquiry phone calls quickly and maintain consistent communications with all students throughout the admission process.
  • Relay new inquiries to Admissions Representatives after procuring general inquirer information.
  • Build relationships with prospective students by conducting telephone based interviews to qualify them on their educational goals and interests, explaining available academic programs, advising them on admission requirements
  • Conduct prospective student and other visitor tours at both campuses
  • Serve as the main liaison during on-campus events, supervising staff as they usher and assist guests

STUDENT INTAKE

  • Serve as on-campus presence while students are on campus, including weekends.
  • Assist the Student Services Department during student intake and check in.
  • Supervise staff for student check in/out.
  • Liaise with Program Assistants, faculty, and OSESS staff regarding student needs during residential sessions.

Typical Qualifications:QUALIFICATIONS
Must possess excellent interpersonal skills both verbal and written; be confident and comfortable speaking in public; able to handle difficult situations and people; able to interface with a number of different internal departments as well as the public; have good prioritization, time-management, and organizational skills; be a strong team player; able to multi-task, initiate, follow-through, meet deadlines, and able to problem-solve while maintaining creativity, and work under pressure. Attention to detail and excellent communication skills are imperative. Must be able and flexible to work weekend and evening events.

Ability to learn new computer skills; ability to sustain productivity under the pressure of a heavy workload with multiple priorities and competing deadlines; and ability to manage multiple projects derived from different constituencies.

EDUCATION and/or EXPERIENCE

  • Bachelor’s degree preferred.
  • 2-3 years management experience.
  • 3-5 years in an administrative and/or educational experience.
  • Retail or hotel service experience preferred.
  • Excellent listening and comprehension skills required.

LANGUAGE AND MATHEMATICAL SKILLS

  • Ability to read, write, speak, and receive instruction in English. Basic to intermediate math required.

REASONING ABILITY

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to mediate and resolve issues; ability to determine issues and creatively problem-solve; ability to engage other departments in meaningful dialogue and articulate issues; ability to multi-task, and ability to analyze the complex and make simple.

COMPUTER SKILLS

  • PC literate; MS Office Suite (including Outlook, Word, and Excel, Publisher).
  • CRM, SMS (Student Management Systems)
  • InDesign and/or Adobe Photoshop a plus.
  • General office equipment.

PHYSICAL DEMANDS

  • Ability to stand, walk, use hands to finger, handle, or feel, reach with hands and arms and talk and hear. Sometimes required to sit, climb and/or balance and stoop, kneel, crouch, and/or crawl.
  • Close range vision. Ability to lift 20lbs and to sit for long periods of time.

HOURS OF WORK AND LOCATION

  • 5 days/40 hours a week between 7:00 a.m. to 11:30 p.m. Monday through Sunday.
  • May including evenings and weekends.
  • Ladera Lane and Lambert Road Campus, Carpinteria.
