General Purpose The primary purpose of this position is to oversee the administrative and operational aspects of the in-house transactional legal department. This role ensures that proper procedures, practices and protocols are maintained at all times. Essential Duties : - Assist in the recruitment, hiring and training of attorneys and support staff. - Manage budgets, expense reports, billing, and collections. - Advanced user of the department matter management and lease management software, to coordinate data input, matter creation and information management. - Schedule appointments and organize attorney calendars. - Interface with clients, including the management of client relations between transactional attorneys and facility staff. - Maintain office equipment. - Work with department members and other departments, such as human resources, accounts receivable, accounts payable. - Review service of process notifications, notify and assign attorneys on relevant matters. - Manage the receipt and mailing of all department communications, including sending physical letters via overnight delivery couriers and USPS certified mail. - Become knowledgeable of specific contracts, including vendor and other applicable healthcare related contracts, in order to assist attorneys in contract review and recommended modifications. Qualifications : - 5 years' experience in office management or office administrator roles preferred. - Bachelor's degree required; master's degree preferred but not required. - Professional proficiency with Microsoft Office Suite and other software. - Strong interpersonal, communication and organizational skills. - Strong time management skills. Physical Demands and Work Environment : - The employee must occasionally lift and / or move up to 25 pounds. - Prolonged use of a desktop or laptop computer. - Regularly required to sit, stand, walk, talk, read, or hear. - Frequent use of office-related equipment, including copier / scanner / fax, telephone, and calculator. - Travel by car or airline may be required. - The work environment is usually low to moderate noise level.
