What are the responsibilities and job description for the Property Manager position at PacShore Communities?
To ensure that all PSDM Properties are consistently operated at the same high standard, the Property Manager’s responsibilities are outlined below. The Property Manager reports directly to the Regional Manager and is responsible for the overall operations of the property to which he or she is assigned.
The Property Manager’s job description includes, but is not limited to, the following:
1. Manage any staff at your property.
a. Supervise all other employees, and ensure each employee is properly trained for his/her position.
b. Schedule personnel to ensure adequate coverage, including after-hours emergency on call personnel.
c. May include hiring, firing, drafting reviews, consultations, workers compensation, payroll processing, overtime pre-authorization, etc. in adherence with management steps outlined in the company handbook and according to Human Resources.
d. Evaluate and document employee’s performances, using proper forms, and to further notify the RM of any employee’s lack of performance. Disciplinary actions or termination requires supervisor’s approval.
e. Maintain accurate payroll records for any PSDM employee, both temporary and permanent. Submit personnel changes, e.g. terminations, transfers, name and address changes, etc., in writing to the Payroll/HR Department promptly.
f. Ensure that all employees have reviewed all Sections of the PSDM Policy Manual and consult it on a consistent basis.
g. Full and complete compliance with the Standards of Ethics and Standards of Conduct as set forth in the company handbook, including company banking policy and rent collections.
h. You must follow and require your staff to abide by all federal, state, and local laws including but not limited to fair housing laws and noticing provisions.
i. Inform and ensure all employees conform to the PSDM-approved apparel program as outlined in this Manual, including, but not limited to, wearing the company provided uniform and name badge.
2. Oversee all contract services.
3. Full and complete compliance with the Standards of Ethics and Standards of Conduct as set forth in the company handbook, including company banking policy and rent collections.
4. Responsible for accurate recording, timeliness, and safety bank deposits. Perform deposits per standard practices.
5. Responsible for maintaining petty cash funds. Petty cash requests should be submitted monthly.
6. Ensure timely submission of all reports as required. This includes but is not limited to weekly leasing reports (PSR), monthly reports as designated by the RM or company. If deadline that falls on Saturday or Sunday it is due on the business day prior.
7. Consistently enforce PSDM’s Policies and Community Rules and Regulations as they apply to staff, residents, and guests.
8. Guarantee the best possible resident relations through RM approved retention programs and activities.
9. Maintain files in accordance with PSDM policy. LIHTC, Section 8, Bond-Financed properties are subject to all regulatory agencies; Property Manager is responsible for compliance in all matters related to same.
10. You and your staff are required to abide by and enforce the company’s rental criteria on ALL APPLICANTS. This includes but is not limited to, use of company approved lease, procuring rental references from the last two landlords, retrieving reliable proof of income, accurate completion of application, and 100% enforcement of software recommendation.
11. Adhere to all company leasing and advertising policies.
12. Comply with all aspects of property audits on a quarterly basis.
13. Delinquency must be proactively managed with timely delivery of notices and eviction filings. Delinquency must be reviewed in detail and adjustments submitted monthly to your Regional Manager. Maintain delinquency below 5% by 15th of each month, and close the month below 3%.
14. Work diligently and aggressively to lease up the community as quickly as possible, working to achieve occupancy goals set by the District Manager and Pacifica leadership.
15. Assist RM with the creation of the budget. Monitor to budget expenses and continuously looking for means to lower operating costs. Achieve a 30% percent cash flow unless the approved final budget states something differently.
16. Prepare and participate in monthly financials reviews by creating a monthly variance report and narrative to submit to ownership.
17. CPAMS required for any capital expense over $1,000 including major unit turns wherein total cumulative cost is greater than $1,000. 3 competitive bids are required.
18. Ensure purchase orders are entered correctly and approved. Review weekly to be sure that bills are paid on-time. Maintain good working relationships with your property vendors and accountants.
19. Inspect Property regularly (for curb appeal and maintenance needs), record deficiencies, and take appropriate action. Perform property inspections periodically with the Maintenance Supervisor.
20. Inform the RM in case of an employee injury or illness on the job and prepare incident report immediately.
21. Inform the RM of all accidents and emergency situations occurring at the property within 24 hours. For all incidents, record the date and time, name of person(s) involved, and as much detail as possible about the incident on the incident Report.
22. Turn in your reimbursable expenses, petty cash report, and mileage as directed.
23. Accurately complete the weekly and monthly reports. Review reports with your on-site team. Encourage and lead team members to run the business to the best of their abilities and within the guidelines of the corporate goals.
24. Certify that all data is entered into Yardi accurately, in a timely fashion, and in accordance with the company policy, the workflow system, and Yardi instructions manuals.
25. Maintain Adjustment Log
26. Ability to understand and uphold the HOA/COA documents (if applicable)
27. Assist in regards to the Regional and District Property Manager’s duties
28. Experience with overseeing a senior living dining program a plus.
29. Other duties and projects as assigned.

Pay: $65,000.00 - $70,000.00 per year
