Full Time – 40 hours per week

This standard procedure establishes and describes the duties of the Shipping Clerk. It should not be construed to be an all-encompassing list.


This is an entry level position. Tech savvy knowledge of administration and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures including typing, data entry, and terminology is required.


An example of specific daily tasks and activities may include the following:

  • Process orders in the Transportation Management System (TMS)
  • Quote freight pricing
  • Process bills of lading
  • Prepare shipping reports
  • Arrange freight schedules
  • Ship small packages

Shipping Clerk Duties:

  • Operate office machines, such as photocopiers and scanners, voice mail systems, and personal computers
  • Answer telephones, direct calls, and take messages
  • Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, and address complaints
  • Interacting with Computers- Using computers and computer systems (including hardware and software) to enter data or process information
  • Communicating with Supervisors, Peers, or Subordinates – Providing information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person
  • Getting information – Observing, receiving, and otherwise obtaining information from all relevant sources
  • Performing Administrative Activities- Performing day-to-day administrative tasks such as maintain information files and processing paperwork
  • Documenting/Recording Information- Entering, transcribing, recording, storing, or maintaining information in written or electronic form


Requirements

Education: High School Diploma Required


2 years of experience in related field a plus


Technology Skills: Microsoft Outlook and Excel a plus


Must be able to carry out multi-step instructions with minimal oversight. Must have strong organizational and planning capabilities, as well as competent follow-through. Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar is required. Must be a competent writer and he/she must demonstrate written and oral communication expression, effectiveness, and understanding. Must be able to complete a variety of office tasks with accuracy and efficiency in a manner that does not impede the normal rate of office productivity. Must be capable of meticulous mathematical calculations and accurate keystrokes. Must be capable of dealing with employees, applicants, customers and vendors on a variety of levels both in-person and over the phone. Knowledge of principals and processes for providing customer and personal services--this includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.


Must be able to sit at a desk for extended periods of time. Must have good eyesight capable of close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus. Must be able to talk and hear. Must be capable of standing, sitting, walking, balancing; stooping, kneeling, and crouching in order to conduct business. Must be capable of moving throughout the office, including closets and storage rooms. Must be able to occasionally physically maneuver between stocked items and move items for inventory purposes. Must be able to lift, maneuver, and transfer items up to 30 lbs.
