The Administrative Assistant will provide essential administrative and operational support, ensuring efficient day-to-day functions
within the department. This role also includes responsibilities related to EMS market support, such as assisting with scheduling,

Key Responsibilities
Administrative Support:
- Manage and organize schedules, meetings, and appointments.
- Prepare reports, presentations, and other documentation as needed.
- Maintain accurate and organized electronic and paper records.
- Handle incoming calls, emails, and correspondence professionally.
- Assist with procurement of office supplies and other necessary materials.
- Support EMS hiring and onboarding processes, including coordinating paperwork and scheduling interviews.
- Assist with maintaining compliance records, including certifications, licenses, and training documentation.
- Communicate with field staff regarding policy updates, schedule changes, and other operational matters.
- Help track and manage inventory related to EMS equipment and uniforms.
- Provide administrative support for EMS-related projects, events, and initiatives.
- Collaborate with facilities to oversee the payment process for non-emergent collectibles.
- Maintain and share collectibles data.
- Share collectibles data with appropriate Leaders if any payment concerns should arise.
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- Accounts receivable experience a plus.
- Previous administrative experience, preferably in EMS, healthcare, or a similar fast-paced environment.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent communication and interpersonal skills.
- Ability to multitask, prioritize responsibilities, and meet deadlines.
- High level of confidentiality and professionalism.
- Office-based with occasional interaction with field personnel.
- May require occasional travel to EMS stations, hospital facilities or local events.
- Physical Requirements for Administrative:
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to lift and carry up to 25 pounds (e.g., marketing materials, office supplies).
- Occasional standing, walking, bending, and reaching as needed for office tasks and event setup.
- Ability to travel locally for marketing events, meetings, and community outreach efforts.
- Visual and auditory ability to respond to written and verbal communications effectively.
- Manual dexterity for operating office equipment such as computers, phones, and printers.
