Job Overview
We are looking for a motivated and detail-oriented Office Assistant to join our team at PainStop Spine Clinic. In this role, you will support the clinic’s administrative operations, ensuring everything runs smoothly and efficiently. The ideal candidate will possess strong communication skills, be adaptable, and demonstrate a professional, honest, and hardworking attitude.
Key Responsibilities:
- Assist with various tasks as needed—flexibility in both tasks and scheduling is essential.
- Welcome and assist patients, visitors, and staff with professionalism and friendliness.
- Handle incoming and outgoing communication via mail, email, phone, fax, and face-to-face interactions.
- Manage appointment scheduling and maintain the calendar.
- Organize and manage filing systems for both administrative and medical records.
- Ensure the accuracy and confidentiality of patient records.
- Manage inventory and order office supplies and equipment as needed.
- Communicate effectively with patients, employees, supervisors, vendors, and contractors.
- Be available for short-distance business travel as required.
- Perform other administrative tasks as assigned.
Qualifications:
- High school diploma or equivalent (preferred); additional qualifications in office administration or a related field are advantageous.
- Typing speed of at least 30 WPM.
- Proficiency with office equipment such as scanners, computers, and printers.
- Must have a valid driver’s license and reliable transportation.
- Ability to pass a pre-employment drug screening and background check.
- Must be trustworthy, organized, and capable of maintaining confidentiality.
- Ability to sit or stand for extended periods and occasionally lift up to 50 pounds.
- Strong multitasking skills and the ability to prioritize tasks in a fast-paced environment.
- Exceptional attention to detail and accuracy.
- Excellent communication and interpersonal abilities.
