Reports to: Department Heads/Executives
Classification: Full-Time/Hourly Position
Essential Duties:
- Complete day to day administrative tasks throughout the organization
- Tasks include but not limited to working with HR to complete
- Employee tracking logs data entry
- Approve Timesheets & Prepare Payroll
- Managing field force clothing inventory
- Transferring job tracking data onto appropriate spreadsheets
- Scheduling Interviews & onboarding
- Digital Filing of employee-based information
- Process state and federal employee documentation
- Log Safety/Training/
- Submittals & Pre-qualification paperwork
- Submit job specific government & insurance documents
- Answering incoming customer phone calls
- Reaching out and scheduling with new and existing customers
- Manage and maintain executives' schedules, appointments, & travel arrangements
- Assist in the preparation of regularly scheduled reports
- Maintain a filing system, both physical and electronic
- Order office supplies and research new deals and suppliers
- Act as the point of contact between executives, employees, clients, and other external partners
- Handle requests and queries appropriately
- Assist in the preparation of presentations and reports
- Develop and update administrative systems to make them more efficient
- Assist in organizing company events and meetings
- Coordinate with IT department on all office equipment
- Monitor office operations and handle any issues that arise
- Perform other administrative duties as assigned
Requirements:
- Proven experience as an administrative assistant or relevant administrative role.
- Proficiency in MS Office (MS Excel and MS Outlook, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask.
- High school diploma; additional qualification as an Administrative Assistant or Secretary will be a plus.
- Knowledge of office management systems and procedures.
- Ability to work independently with minimal supervision.
