Job Summary
We are seeking a detail-oriented and highly organized Administrative Assistant to support our team in daily operations. Under the direction of an assigned Director or designee, performs a variety of responsible and complex secretarial and clerical duties by performing routine administrative tasks and coordinating the workflow and clerical support activities of a large, complex department. Serve as administrative assistant to an assigned Director or designee and coordinate communications between administrators, personnel, parents, students and the general public; train, assign and coordinate the work of assigned office personnel.
Duties
- Provide administrative assistance to the Director or designee; make, schedule, and arrange appointments, meetings and conferences.
- Coordinate school/office activities. Coordinate communications regarding activities, events, and timelines to relieve the Director or designee of routine administrative detail.
- Maintain organized filing systems, both physical and digital, ensuring easy access to important documents.
- Type from notes, rough draft or verbal instructions a variety of written materials including master schedules, correspondence, memoranda, requisitions, records, reports and bulletins and edit as necessary; maintain confidentiality of sensitive issues and information; copy and file materials as required; independently compose letters and memoranda as directed.
- Proofread documents for accuracy and clarity before distribution.
- Oversee office management tasks, including inventory management and supply ordering.
- Exhibit excellent phone etiquette while interacting with clients and vendors.
- Employ effective time management skills to prioritize tasks and meet deadlines.
- Assist in customer support by addressing inquiries and resolving issues promptly.
Qualifications
- Organization, rules, regulations, and programs related to an assigned department across multiple locations.
- School office terminology, practices, and procedures. Organizational operations, policies, and objectives.
- Financial and statistical record-keeping techniques. Basic budget monitoring and control.
- Correct English usage, grammar, spelling, punctuation, and vocabulary.
- Oral and written communication skills.
- Interpersonal skills using tact, patience and courtesy.
- Telephone techniques and etiquette.
- Principles of training and providing work direction to assigned personnel.
- Operation of a variety of technology devices including but not limited to a computer and assigned software.
- Applicable sections of the State Education Code and other applicable laws.
- Letter and report writing skills.
EDUCATION AND EXPERIENCE:
Any combination equivalent to: graduation from high school and five years of increasingly responsible secretarial and clerical office experience involving public contact.
