Position Summary
The Office Administrator is responsible for the day-to-day operations of the administrative office at our Greenville location. This position encompasses a wide range of administrative duties including HR, payroll, logistics, and purchasing. This position will interact closely with other internal team members as well as suppliers, and customers. For this role, there will be time sensitive processes and documents as well as confidentiality requirements
Responsibilities
General Administration
- Responsible for the day-to-day operations of the administrative/HR office at our Greenville location
- Ensures that all administrative tasks (processing and routing of documents, maintaining paper and electronic files) and completed on time and accurately
- Complete all assigned projects on time and accurately to meet assigned deadlines
- Planning and organizing company events as required
- Maintain office environment/cleanliness
Human Resources
- Assist the Human Resources department with recruitment efforts such as posting jobs, completing phone screens, reviewing references, drafting contracts, onboarding, etc.
- Inputting bi-weekly hourly and salary payroll using ADP software
- New hire onboarding activities including benefit and payroll set-up
- Calculate vacation entitlements for all staff and entering information in payroll systems as required
- Maintaining electronic and paper-based filing of payroll records and ensuring governance
- Be the first contact to team members on payroll, benefits and policy questions
- Support the Human Resources department through the employee life cycle
Other Duties
Provide administrative support to the purchasing, production control and technical services areas including but not limited to:
- Update production schedules
- Local purchasing of office supplies
- Assist the logistics team with freight advances
- Provide support for yearend external audit process
- Work in this role involves coverage of telephone reception and acting as back-up for various roles as required
- Other duties as assigned
Requirements
- 2 years of experience in office administration
- Demonstrated Microsoft Office (Word, Excel) experience
- Post-secondary education relating to business/human resources an asset
- Experience with ADP or other web-based payroll system an asset
- Excellent communication skills – oral and written mediums
- Due diligence in privacy & confidentiality
- Attention to detail, deadlines
- Adapts & embraces change
- Strong attention to detail
- Preferably possess a valid driver's license
- Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times
