Position Summary
The Operations Coordinator oversees and coordinates PAL’s operational functions and assists with ancillary support services to allow the PAL team to deliver on its mission.
This individual plays a key role in the administrative support of the Board of Directors in order to ensure seamless operations.
This position is 20 hours per week from 9:00 am to 2:00 pm Monday through Thursday.
Position Responsibilities
Position responsibilities include but are not limited to:
Support to the PAL Board of Directors
- Serves as a key logistical contact to the Board of Directors and is familiar with members and their committee assignments and roles
- Attends all Board and Committee meetings to assist with recording minutes
- Assists in preparation of monthly agendas and distributes packets
- Serves as the staff liaison to various committees as assigned
Human Resources
- Provides support for human resources functions, such as job posting, background checks, staff onboarding, offboarding, and assistance in filing HR-related forms and reports
- Updates and utilizes Bamboo HR online system for onboarding, offboarding, and maintaining employee personnel records
- Maintains Personnel Policies & Procedures Manual
- Coordinates birthday and anniversary acknowledgement for staff members
- Serves as coordinator for employee benefits and SIMPLE IRA administration
Financial Management
- Coordinates the annual audit process and 990 filing with the accountant
- Create invoices weekly for event sponsorships, as well as Food Hub buyers
Facility Oversight
- Oversees facility maintenance, including the coordination and monitoring of repairs, renovations, cleaning, security, safety, compliance, and supplies
- Monitors and manages operations accounts such as Quickbooks Payroll, American Funds IRA, online password portal, telephone and alarm systems, and printer and other technology
- Compiles annual liability and insurance audit paperwork
Fundraising Support
- Enter donations into Network for Good
- Create acknowledgement letters
- Assist in the creation of donation reports
Program Support
- Assist in updating Local Food Marketplace weekly with new and updated products
- Update trail use reports monthly
Organizational Support
- Supports logistical needs related to events and meetings including invitations and reminders, materials, room set-up and clean up, security, parking, rentals, and catering coordination
- Provides primary clerical and administrative support to the PAL team, as needed
- Maintains Operational Project in Asana and associated weekly, quarterly and annual tasks
- Performs other duties as assigned
Essential Skills and Experience
- Familiarity with and belief in the mission, vision, and values of PAL
- Ability to work as part of a team
- Comfortable working with a diverse group of people, with the presence and credibility to develop and sustain a broad range of relationships
- Project and time management, as well as the ability to prioritize are essential to ensure timely and effective progression of multiple projects simultaneously; must be detail-oriented and able to multitask
- Excellent verbal and written communication, interpersonal, time management, problem-solving, and math skills
- Flexible team player with a direct, honest, and respectful approach to problem solving
- High level of proficiency in Microsoft Word and Excel
- Experience with Quickbooks preferred
- Knowledge of best practices, relevant research, trends, emerging issues, and innovations in non-profit management
- Demonstrated ability to handle confidential and sensitive information
Education requirements: Associate’s degree from an accredited college or higher
