Job Title: Admission Representative
Job Summary:
We are seeking a highly motivated and customer-oriented Admission Representative to join our team. In this role, you will be responsible for recruiting, advising, and assisting prospective students throughout the admission process. The ideal candidate will have excellent communication skills, a passion for helping students, and a deep understanding of the educational offerings. You will play a key role in promoting the institution, answering inquiries, and helping students navigate the admissions process, from inquiry to enrollment.
Key Responsibilities:
Recruitment and Outreach:
- Actively recruit prospective students by answering inquiries, attending events, and using various communication channels (phone, email, social media, in-person).
- Build and maintain relationships with high school counselors, career advisors, and other community partners to generate student leads.
- Conduct outreach through phone calls, emails, webinars, and other methods to engage prospective students.
Admissions Counseling:
- Provide clear and accurate information to prospective students and their families about admission requirements, academic programs, financial aid, and campus life.
- Guide prospective students through the entire admissions process, from application submission to final enrollment.
- Assist students with completing their applications, reviewing required documents, and addressing any questions or concerns.
Application Processing:
- Review and process student applications, ensuring all required documentation is complete and accurate.
- Coordinate with other departments, such as Financial Aid and Registrar, to ensure a smooth admissions process.
- Track application statuses and follow up with students who have incomplete or pending documents.
Data Management and Reporting:
- Maintain accurate records of prospective students, applications, and admissions activity in the institution’s CRM system.
- Provide regular reports to the admissions team on recruitment goals, application status, and enrollment progress.
Student Engagement and Communication:
- Schedule and conduct campus tours, one-on-one meetings, and information sessions for prospective students and their families.
- Assist in coordinating and hosting recruitment events, open houses, and other campus activities.
- Follow up with applicants throughout the admissions cycle, ensuring that prospective students remain engaged and informed.
Customer Service and Problem-Solving:
- Address student concerns and questions in a timely and professional manner.
- Assist in resolving any issues that may arise during the admissions process and provide solutions to help students successfully enroll.
Qualifications:
Education:
- Bachelor’s degree preferred, or equivalent work experience in admissions, sales, or customer service.
Experience:
- Experience in Recruiting, or customer service role, preferably in higher education.
- Experience working with diverse populations and understanding the challenges prospective students may face.
Skills and Competencies:
- Excellent written and verbal communication skills.
- Strong interpersonal skills and the ability to build relationships with students, families, and faculty.
- Ability to work independently, manage multiple tasks, and meet deadlines.
- High attention to detail, especially when reviewing applications and processing documents.
- Knowledge of student recruitment, enrollment processes, and best practices in higher education admissions.
- Proficiency with Microsoft Office Suite and CRM systems (e.g., Campus Cloud, etc.).
Other Requirements:
- Ability to work some evenings or weekends during peak recruitment periods or special events.
- Must be able to pass a background check as required by the institution.
Physical Demands:
- Ability to sit for extended periods and perform office-related tasks.
- Occasional travel may be required for recruitment events or campus visits.
- Ability to lift and carry recruitment materials or promotional items (up to 20 lbs).
