About This Role
Responsible for the supervision of all phases of admissions, registration, and academic record management activities. Responsible for the resolution of student issues and appeals, coordination of student transcripts, and oversight and training of department staff.
What a Day Of An Associate Dean Looks Like:
- Guides, leads, reviews, verifies, observes, and manages the work of people reporting directly and indirectly to you. Monitors and evaluates the performance of your employees.
- Resolves minor student admissions and registration related issues and appeals; escalates complex inquiries and issues to the next level when necessary.
- Coordinates and manages the preparation, administration, and issuance of transcripts. This includes administering and interpreting policies regarding the preparation, transfer, and release of transcripts.
- Collects and processes change of grade forms and late grades. Coordinates the update of transcripts. Oversees the student records management process for direct reports.
- Coordinates and conducts student admissions, registration, and pre-registration, and processes corresponding registration materials.
- Attends workshops, seminars, or conferences to sharpen job related skills. Maintain ongoing knowledge of policies, procedures, laws and ordinances, benefits, and union agreements. Travels to meetings, between college locations, and for other purposes.
- Trains users in the operation of new or modified systems and programs. Plans, schedules, and prepares user training, including the development of training guides, and documentation. Develops, delivers, and assesses internal employee training.
- Performs other job-related duties as assigned.
Education And Experience:
- Associate’s degree and four years of related experience; OR
- Bachelor’s degree and two years of related experience
- Microsoft Office Professional or similar application
- Attention to detail while maintaining effective time and task management
- Managing and resolving conflict in a positive manner
- Motivating employees to apply the effort necessary to attain organizational and departmental goals
- Effectively communicate verbally and in writing on a regular basis with internal and external customers, build relationships, manage customer expectations, and take responsibility for a high level of service
- Interact in a positive manner with diverse populations and varying education levels of students, faculty, staff, and the public
- Regular physical attendance required
- Must complete FERPA training within 30 days of employment
- Some periods throughout the year will require extended work hours including nights, weekends, and college closures
Education and Experience:
- Experience within an educational environment
- Family Educational Right and Privacy Act (FERPA) knowledge
- Bilingual speaking
- Reach and grasp objects
- Stoop, bend, kneel, crouch, or crawl
- Stand for extended periods of time
- Use of video display terminal
- Use of manual dexterity and fine motor skills
- Communicate information orally and in writing
- Receive and understand information through oral and written communication
- Proofread and check documents for accuracy
- Work a fluctuating work schedule
