About this roleThe Facilities Specialist provides administrative support, customer service, and system expertise to the facilities department. Uses various software and systems to create documents, spreadsheets and reports, maintain records and files, and process payroll, budget and purchase requests. Serves as the first contact for various facilities requests. May serve as a Collegewide superuser for a facilities system or process, such as state reporting, inventory, key management, workorders, utilities usage, website management, etc.What a day of a Facilities Specialist looks like : Performs highly administrative and secretarial duties that require a broad and comprehensive knowledge of the organization's policies and operations.Creates, edits and maintains databases and reports such as facilities utilization, capital improvements, construction funding, and cost center or project spending.Maintains and audits facilities inventory, which may include, but not limited to, acreage, buildings, capital assets, equipment, keys, etc.Prepares spend authorizations, creates purchase orders, executes budget transfers, and processes invoices and purchasing card transactions.Designs complex spreadsheets utilizing multiple functions and formulas, assist supervisor in creating presentations for the college community, events and public meetings.Sorts and distributes mail and workorders, draft correspondence, and follow up, as necessary.Assists and trains other College staff in facilities processes and systems. Provides expertise to others.Collaborates with district and campus facilities counterparts in support of the One College approach to maximize efficiency and provide consistent processes to all constituents regardless of location or department.Assists in research and testing of new or changed end user systems.Maintains current knowledge of field or profession. Travels to training workshops, conferences, meetings and professional events outside of college locations, as needed.Performs other job-related duties as assigned.We'd love to hear from you if you have the following : Education and Experience : High school diploma or GEDTwo years of related experienceKnowledge of : Microsoft Office Professional or similar applicationSkilled in : Attention to detail while maintaining effective time and task managementReviewing and manipulating data for accuracyCompiling information in an organized mannerAbility to : Effectively communicate verbally and in writing on a regular basis with internal and external customers, build relationships, manage customer expectations and take responsibility for a high level of serviceWork both independently and in a team environment to complete projects and tasksOrganize and prioritize multiple competing prioritiesLicenses, Registration, Certifications, or Special Requirements : Regular physical attendance requiredPreferred but not a must : Education and Experience : Associate's degreeExperience in an educational environmentExperience architectural or construction administrationKnowledge of : Facilities systems and reporting such as Florida Solaris FITS and LITSWork Environment and Physical Demand : Reach and grasp objectsUse of video display terminalUse of manual dexterity and fine motor skillsCommunicate information orally and in writingReceive and understand information through oral and written communicationProofread and check documents for accuracyThis job description is intended to be generic in nature and describe the essential functions of the job.
