What are the responsibilities and job description for the Office Assistant position at Palm Medical Centers?
An Office Assistant, or Administrative Assistant, will support the executive corporate team in an array of special projects and day-to-day secretarial office tasks. The ideal candidate for this job will be a team player, a master calendar organizer, an avid multi-tasker, and will possess strong organization and problem-solving skills. This position but will work with other department leaders at the direction of the HR Director.
Key Duties & Responsibilities:
- Assist with special projects at the direction of the HR Director
- Ensure projects and tasks assigned are completed by deadline
- Handle all of corporate office mail, disperse to departments as needed
- Assist the HR team with filing and scanning
- Maintain office equipment, business cards, supplies, and uniforms by monitoring inventory and ordering items for the corporate office and all medical centers as needed.
- Assist with event planning
- Book travel for executive team as needed
- Greet all corporate visitors, validate parking tickets
- Respond to questions and requests for information
- Answer incoming calls and assume other receptionist duties when needed
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Excellent customer service and phone skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Proficient with Microsoft Office Suite or related software.
Education and Experience:
- High school diploma or equivalent.
- A minimum of 2 years’ experience in an administrative support role.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 10 pounds at times.
- Ability to commute at nearby centers (occasionally) may be required.
