What are the responsibilities and job description for the Adoption Event Coordinator position at Palm Springs Animal Shelter?
POSITION OVERVIEW
The Adoption Event Coordinator will report to the Director of Operations, and will coordinate all aspects of animal adoptions at events outside of the Shelter.
All responsibilities are to be carried out in accordance with The Palm Springs Animal Shelter
standards, policies, and procedures.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Work closely with all departments to identify and prepare suitable animals for outside adoption partners and/or events.
- Act as the primary point of contact and adoption coordinator for the following adoption partners - Westin Hotel, Frisky Business and Chef Tanya.
- Spearhead the expansion of adoption event opportunities through the Coachella Valley & High Desert areas.
- Work with the Development Department and other stakeholders to assess the viability of incoming adoption event inquiries.
- Complete pre-adoption medical check-outs for all adoption event animals.
- Using Shelter vehicles, transport animals to and from adoption events and/or adoption partner facilities.
- Process and/or oversee the processing of off-site adoptions (ShelterLuv).
- Work with the Volunteer Department to train adoption event volunteers to work at adoption events. Help recruit trained volunteers to participate in events. Help ensure all volunteers have a positive experience.
- Accurately keep all records and documentation up to date as required for your position.
- Continuously exhibit a positive working attitude by demonstrating respect for staff members, volunteers and members of the public.
- Exhibit a humane and caring attitude at all times towards the animals in our care.
- Use a humane and safe approach in all handling and restraint of animals, striving to maintain safety and security for the animals, staff, volunteers, and the public.
- Provide careful, ongoing observation of animals throughout the shelter to see that the animals are safe, healthy, clean, and comfortable - promptly notify appropriate staff if any animal shows signs of stress, injury, or illness.
- Report any maintenance issues, including vehicle issues, to appropriate staff.
- Comply with established safe work practices and attend all safety-related training provided or made available by the Shelter.
- Stay informed by reading and responding to emails, BambooHR announcements, phone messages and any other forms of shared communication on a regular basis.
- Ability to work a flexible schedule - including weekends, evenings and holidays.
- Other duties as assigned.

Education and/or Experience
- Minimum one year of animal handling and behavior experience necessary.
- Basic veterinary assistant knowledge preferred but not required.
- Prior animal welfare organization and/or shelter experience is a plus.
- Live event experience is a plus.
Required Technical / Other Skills and Abilities
- Computer skills including Google tools, MS Word, Excel, and PowerPoint software. Experience with ShelterLuv is a plus.
- Current driver’s license, a clean driving record and ability to drive a passenger van is necessary.
- Behavior and handling knowledge of dogs and cats required.
- Ability to maintain confidentiality.
- Ability to work under the pressure of constantly changing priorities, unanticipated urgent demands, and multiple tasks.
- Competency in organizing tasks, documents and materials with efficiency and accuracy.
- Ability to work independently or as part of a team.
- Excellent communication skills - both spoken and written. Ability to independently compose letters, memos, reports, and other written communication materials for a variety of audiences using correct spelling, grammar, punctuation, text editing, and proofreading skills.
- Ability to work a flexible schedule including evenings, weekends, and holidays.
- Must have a valid driver license and clean driving record.

Physical Demands Summary: Must be able to lift to waist/push/pull/restrain up to 75 lbs. Position requires both inside work as well as exposure to the elements. Ability to stand for up to 2 hours at a time: ability to transport and handle live animals with confidence. Noise is a constant. Ability to bend, twist, kneel, crouch and climb.
