POSITION OVERVIEW
The Veterinary Receptionist for the NEW Desert Hot Springs Vet Clinic will report to the Office Manager and will support all front-of-house services - answering phones and emails; greeting customers; scheduling client appointments; clinic administration; payments; record keeping; inventory control; administrative tasks; and cleaning. This position requires bilingual language skills - fluent in both English and Spanish. All clinic staff will work a 4/10 schedule - Wednesdays through Saturdays.
The Receptionist will promote a friendly and professional environment where emphasis is placed on quality care, compassion, efficiency and collaborative teamwork.
All responsibilities are to be carried out in accordance with The Greater Palm Springs Animal Allies standards, policies, and procedures.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Welcome clients and their pets in person and on the phone.
- Answer phones, check and return voicemail messages and emails in a timely manner.
- Set appointments, procedures, and follow-up care. Send appointment reminders and/or call clients to confirm appointments.
- Process incoming deliveries and mail.
- Provide pre and post op information to clients.
- Make 24-hour follow up calls to all surgical clients.
- Collect payments for services and medication, and balance transactions daily.
- Maintain client and pet records and update information in the database.
- Resolve customer service issues to the best of your abilities, and escalate unresolved issues to management.
- Provide education to clients about pet health and well-being.
- Maintain a clean, orderly and safe work environment through the lobby, hallways, restrooms and exam rooms.
- Monitor inventory and order supplies.
- Ability to work a flexible schedule, which may include evening, weekends and holidays.
- Attend meetings and training sessions as required for your position.
- Other duties as assigned.

Education and/or Experience
- One-year minimum customer service experience.
- One year minimum experience working for a veterinarian clinic or animal shelter.
- High School Diploma or equivalent is required.
Required Technical / Other Skills and Abilities
- Computer skills including Google tools, MS Word, Excel, and PowerPoint software.
- Bilingual - fluent in Spanish & English
- Ability and willingness to learn new computer software and database programs.
- Ability to use phone systems, including transferring calls, paging, voice mail.
- Ability to perform basic mathematical-related tasks, including counting cash and reconciling payments and receipts.
- Ability to maintain confidentiality.
- Ability to work under the pressure of constantly changing priorities, unanticipated urgent demands, and multiple tasks.
- Competency in organizing tasks, documents and materials with efficiency and accuracy.
- Excellent communication skills - both spoken and written. Ability to independently compose letters, memos, reports, and other written communication materials for a variety of audiences using correct spelling, grammar, punctuation, text editing, and proofreading skills.
- Ability to work a flexible schedule including evenings, weekends, and holidays.
Physical Demand Summary: Most assigned duties require extensive use of computers and phones. Lots of sitting; minimal standing. Some animal restraint; ability to lift and/or carry up to 25 lbs. A complete list of demands will be provided to all candidates who are interviewed for the position.
