Job Summary
The Guest Relations Department oversees all aspects of the filmmaker and industry guest experience at ShortFest, ensuring smooth coordination and hospitality for 700 guests. This department comprises of a coordinator, an assistant, a lounge coordinator and an intern.
The Guest Relations Manager plays a crucial role in ensuring filmmakers have a memorable and enriching ShortFest experience, providing comprehensive guidance on navigating the festival’s offerings, ensuring filmmakers feel well-supported and informed.
The ideal candidate is highly organized, detail oriented and enjoys a fast-paced and fun environment with a sincere passion for delivering friendly guest experiences.
Elements of the Position
Filmmaker Tracking
- Input and maintain the guest database (FMP) with attending filmmaker information
- Copy, update and manage filmmaker registration forms (JotForm)
Communication and Coordination
- Monitor filmmaker Facebook page, respond to questions, and engage filmmakers
- Send initial email to all invited filmmakers, including the filmmaker registration form once looped into communication by Programming
- Track and share daily filmmaker attendance check in reports with Programming
- Work with Forum team to make sure all Forum information is distributed to filmmakers
- Keep filmmakers informed of all events, activities, updates, and changes
- Provide steady communication and clear direction to all attending and if applicable, non-attending filmmakers
- Work with Programming and Forum staff to distribute schedule and attendance information to filmmakers
Supervision
- Manage and oversee guest relations staff including: Guest Relations Assistant and Guest Relations Intern
- Work with the Lounge Coordinator to assist where volunteers are needed in the Lounge
During Festival
- Greet, kindly welcome and interact with guests in the Filmmaker and Industry Lounge
- Be on-site at check in at the Filmmaker and Industry Lounge to answer guest questions and provide direction
- Distribute filmmaker bags at check in
- Send daily email blasts to all filmmakers regarding daily events including Forum, Film Market, and parties
- Maintain suite inventory of gift bags and welcome packet materials
- Track daily filmmaker check ins and share with programming at the end of every day
Qualifications

- Flexibility to adapt to evolving responsibilities and schedules
- Working knowledge of Google Workspace; Working knowledge of FileMaker Pro a plus; working knowledge of Elevent a plus
