Position Summary
Reporting to the Wellness Center Administrative Manager, this position will ensure inbound phone calls to the campus are directed to appropriate persons, be responsible for the Wellness Center receptionist area, receive and distribute all incoming mail and parcels, assist with accounts payable as well as donation receiving and tracking, and perform clerical and other duties as directed.
Responsibilities
- Primary responsibility to answer all inbound calls and ensure courteous and timely response to questions.
- Greet visitors with utmost courtesy and respect and assist with their questions or needs
- Ensure collection and distribution of all mail. Open all financially related mail such as invoices and donations.
- Process donations with a second staff member as witness.
- Scan, file, retrieve documents, records, and reports as needed.
- Assist in account reconciliations and budget monitoring efforts.
- Organize and prepare office area for meetings
- Keep calendar up to date with events scheduled in the wellness center
- Help direct volunteers to point of contact on campus
- Work with Facilities operations to ensure they are aware of any maintenance or other issues within the wellness center facility.
- Assist with inventory and ordering of supplies for the Wellness Center
- Assist financial department with basic donation receiving/tracking, accounts payable and other needs.
- Receive donations and distribute to direct care staff as required.
- Ensure building use policy is followed and report any issues to facilities director or Wellness Center Administrative Manager in a timely manner.
- Other duties as assigned
Qualifications
- Experience in Administrative experience type role.
- Bachelor’s degree in Accounting, finance, or Business Admin strongly preferred
- Proficiency in Microsoft Office Suite, Apple, and Windows products. Prefer experience in Bloomerang (database management) and Quickbooks. Willingness to learn unfamiliar computer applications.
- Excellent verbal and written communication skills.
- Ability to work independently as well as contribute successfully in a fast-paced team environment.
- Present a positive and professional disposition and willingness to “go the extra mile” to complete assigned tasks, sometimes outside of the normal scope of daily responsibilities.
