A prestigious boutique law firm is seeking an experienced billing professional in their Washington, D.C. office to lead and manage firmwide billing operations. The Billing Operations Manager is responsible for managing all aspects of the billing cycle for firmwide clients and attorneys by ensuring client bills are processed accurately and timely in accordance with client agreements and firm policies. Additionally, the Billing Operations Manager will supervise a Billing team of two, lead key departmental projects and initiatives, and serve as the main billing contact for client billing needs, reporting and collections. The primary accounting softwares used in this role are: Collaborati, Legal Tracker, CounselLink, CounselGO, and TyMetrix360. This position reports to the Executive Director. The Firm’s core hours of operation are Monday through Friday, 9:00 a.m. to 5:30 p.m. This firm observes a hybrid work model with a minimum three-day in-office presence. This is an exempt position and pay periods are semi-monthly (15th & 30th of each month). Duties and Responsibilities:
- Works closely with the billing team and attorneys of all levels to prepare, edit and distribute monthly e-bills while maintaining compliance with firm policies and client billing procedures.
- Has a comprehensive understanding of complex billing arrangements, advanced billing functions, rate code procedures, client arrangements, etc.
- Ensures the quality and integrity of the client billing process and identifies/implements billing best practices that drive enhancement while remaining aligned with Finance objectives and firm policies.
- With the billing team, tracks all accounts receivable; communicates balances to attorneys; and follows up on past due clients concerning payment.
- Plays a key role in the management, development, and successful performance of billing staff.
- Leads key department projects and initiatives (to include evaluation of Accounting system options with a plan for a future accounting system upgrade) and contributes to the training of the billing team.
- Serves as a main contact of escalation for client billing issues and reporting requests.
- Other duties as assigned.
Job Requirements:
Required:
- Must possess a minimum of seven years of relevant experience in a law firm environment with specific expertise in billing
- Must possess a minimum of two years of supervisory experience.
- Advanced knowledge in e-billing software
- Demonstrated ability to communicate effectively with internal and external stakeholders.
- Advanced knowledge in MS Suite to produce quality written spreadsheets, memos, and standard work communications.
- Understanding of general accounting principles as they apply to billings and A/R.
- Must demonstrate professional and developed communication skills with the ability to interact professionally and courteously with partners, attorneys, staff, and clients of the Firm while exercising confidentiality of client and Firm matters
- Ability to lead projects, communicate progress and manage to deadlines
Preferred:
- Accounting and/or billing system implementation experience is a plus
