Job Overview:
We are seeking a highly organized and proactive individual to join our team as a Logistics and Administrative Assistant for our boat hauling company. In this role, you will provide support in coordinating boat transport logistics, managing administrative tasks, and ensuring smooth operations across various departments. The ideal candidate will have excellent attention to detail, strong communication skills, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
Logistics Coordination:
- Assist in planning and coordinating boat transport schedules, including route planning and ensuring timely delivery.
- Communicate with drivers, haulers, and customers to provide updates and resolve any logistical issues.
- Track and manage shipments, ensuring all boats are safely and efficiently hauled.
- Assist with permit applications
Administrative Support:
- Handle day-to-day office tasks such as filing, data entry, and maintaining organized digital and physical records.
- Prepare and process invoices, work orders, and other related documents.
- Assist in the preparation of reports for management on logistics and operations.
- Answer customer inquiries via phone and email, providing information on service offerings, schedules, and rates.
- Assist with HR onboarding and interview phone calls.
Customer Relations:
- Coordinate with clients to schedule appointments, deliveries, and pickups.
- Maintain positive relationships with customers and ensure high levels of customer satisfaction.
- Address any concerns or complaints promptly and professionally.
Compliance and Safety:
- Assist in ensuring that all hauling operations comply with local, state, and federal regulations.
- Keep track of licensing, permits, and insurance documentation for both drivers and equipment.
Qualifications:
Experience:
- Previous experience in logistics, administration, or a related field is preferred, ideally within the transportation or boat hauling industry.
- Experience with route planning and fleet management is a plus.
Skills:
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work under pressure and meet deadlines.
- Problem-solving skills and the ability to work independently.
Education:
- High school diploma or equivalent required; associate’s or bachelor’s degree in business administration, logistics, or a related field is a plus.
