The Dental Patient Advocates are responsible for all clerical and front desk administration duties, including but not limited to greeting guests, answering telephones, scheduling patients and payment collection, referrals, establishing and maintaining accurate patient dental records in the EDR.
Description Of Primary Responsibilities
- Responsible for customer service
- Smile, welcome, and assist the patient upon their entry into the clinic
- Answer, screen and route telephone calls in a polite and professional manner.
- Resolved patient requests, questions and complaints frequently requiring analysis of situations to determine best use of resources
- Build and maintain professional relationship with patients by providing prompt and accurate service so as to promote patient loyalty
- Responsible for patient check in
- Obtain accurate patient information with the appropriate signatures, including but not limited to, demographics, insurance, consent and dental/medical history forms.
- Maintain knowledge of accepted insurances including deductibles, premiums, frequency limitations and provider charges.
- Understand, articulate and sign the patient up for the sliding fee scale.
- Accurately and proficiently enter data into NextGen and Phreesia
- Maintain efficient patient flow with regard to front desk and clinic operations.
- Know how to schedule and preschedule an appointment.
- Assure patients, visitors and vendors are announced and routed to the appropriate departments.
- Maintain orderly and professional work areas.
- Responsible for patient check out
- Collect patient encounter form.
- Verify the procedure and diagnosis code.
- Collect charges for services delivered.
- Collect on patient's outstanding balance (medical and dental)
- Perform end-of-day activities, including but not limited to; assuring all encounters are accounted for, reconciling cash drawer, reconciling charges, submitting reconciled balance sheet, deposits and encounters to the Finance Department each day, daily local bank deposits, and maintaining encounter and cash flow logs.
- Responsible for patient referrals
- Perform a variety of duties associated with referring patients to other specialists or institutions for additional dental care
- Review and explain process for referral to patient including, but not limited to what is involved, who providers are and how to get to specialists office
- Possess knowledge of referral process including accurately entering, and submitting patient referral information into insurance portals.
- Responsible for authorizations
- Understand which insurances require authorizations and how to document those authorizations.
- Navigate the online web sites for insurance authorizations
- Know all information needed to retrieve authorization (dx, ins, ID)
- Responsible for administrative duties
- Read and adhere to the Front Desk Policy Manual, Dental Policy Manual and HIPAA Policy Manual
- Check emails at least twice daily.
- Assist the Executive VP of Patient Services with data collection for UDS and grant applications.
- Assist with audits and surveys
- Perform any other duty assigned to improve the efficiency of PMG.
