What are the responsibilities and job description for the Child Care Administrative Assistant position at Palmyra-Eagle School District?
The Palmyra-Eagle Montessori School is looking to hire a full-time year-round main office Administrative Assistant. The Administrative Assistant will be responsible for managing the day-to-day operations of the school. The schedule is Monday - Friday 6:00am - 2:30pm or 9:00am - 5:30pm.
The Palmyra-Eagle Montessori School provides childcare, wrap around care and school age instruction. Childcare is for infants 6 weeks – 3 years old. Wrap around care is for 6 weeks – 3rd grade. School age instruction is for 3k – 5k and 1st – 3rd grade.
The candidate will work to ensure that the school provides a high-quality learning experience for children, exceptional customer service to parents and a supportive, collaborative work environment for staff.
Qualifications:
- ·Must be at least 21 years of age
- · Two or more years of supervisory or administrative experience in early childhood education setting.
- · At least one year of experience as a teacher or assistant teacher in a licensed child care facility.
- · Familiarity with the Montessori Method of education or a Montessori certification is preferred.
- · High School diploma or its equivalent as determined by the Wisconsin Department of Public Instruction
- Familiarity with Google Suite, Microsoft Office Suite, Skyward and Transparent Classroom preferred
Responsibilities include but are not limited to:
DAYCARE COORDINATOR
- · Comprehend, implement and maintain State Licensing Regulations
- · Assist in the hiring and training of daycare staff
- · Schedule daycare staff hours, classes and enrollment
OFFICE PROCEDURES:
- · Communicate regularly with parents – answer questions and resolve any concerns
- · Give tours to prospective families
- · Answer school phone
- · Monitor daily lunch count
- · Sort mail and packages
- · Maintain copy machines – keep paper stocked
- · Contact parents when students are ill or in need of contacting their parents
- · Monitor visitors when entering into the building (answer bell/door is locked)
- · Post up to date school board notices in the building each month as needed
- · Update the school sign on the street - once per month of current events
- · Assist administration as needed - secretarial needs
STUDENT ATTENDANCE
- · Track registration and attendance daily
- · Listen to parent attendance call-in line & document messages
- · Communicate student attendance to staff daily for morning/afternoon wrap around and school day
- · Notify teachers of daily student pick up changes
- · Be sure each child is accounted for during and after school
STUDENT FILES/FEES
- · Prepare and maintain cumulative files and health files for each student
- · Register children and collect necessary forms
- · Prepare fee statements and collect fees
- · Insure all registered children have all forms completed and on file
- · Compile registrations, class lists and emergency lists for each class
PURCHASING
- · Complete purchase orders for all items ordered for the school
- · Check in packages upon arrival
- · Order all school supplies as needed for the building
- · Order all teacher budget items through the year
STAFF COVERAGE
- · Verify each teacher or aide is covered with a substitute when absent
- · Find appropriate substitutes if a teacher or aide is not covered
MEDICAL
- · Provide health/medical care for students as needed when nurse is not available
- · Provide health/medical assistance to nurse as needed
- · Dispense medication to students
- · Assist nurse with keeping medical files & supplies as needed
- · Assist with MERT team, CPR training, first point of contact for emergency situations
