Position Overview:
We are seeking a highly organized and proactive Administrative Assistant to support our CEO. The ideal candidate will play a crucial role in ensuring the smooth operation of the executive office by managing schedules, coordinating meetings, handling communications, and assisting with quality programs, safety, risk management programs and various administrative tasks.
Key Responsibilities:
- Provide comprehensive administrative support to the CEO, including managing calendars, scheduling appointments, and organizing meetings.
- Prepare and edit correspondence, reports, and presentations.
- Serve as a liaison between the CEO and internal/external stakeholders, including board members, staff, and community partners.
- Assist in the preparation and distribution of meeting agendas, minutes, and follow-up actions.
- Maintain confidentiality and handle sensitive information with discretion.
- Manage and prioritize incoming communications, including emails, phone calls, and mail.
- Assist with special projects and other duties as assigned by the CEO.
- Assist with multiple activities that relate to administration, quality programs, safety and risk management programs.
Qualifications
Requirements/Qualifications:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration or related field preferred.
- Minimum of 3 years of clerical, administrative or executive support experience, preferably in a healthcare setting.
- Strong organizational and time management skills with the ability to multitask and prioritize effectively.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of professionalism and discretion.
- Knowledge of medical terminology is preferred
- Able to take instructions and follow-through independently.
