Job Summary
The Administrative Assistant will provide essential support to the Sales & Events team and executives by handling administrative tasks, managing communications, and assisting with event coordination. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities
Key responsibilities include, but are not limited to the following:
- Distribute post-event surveys.
- Field incoming calls and direct inquiries to the appropriate manager.
- Order and maintain office supplies inventory.
- Update Delphi menus and generate reports as needed.
- Create and distribute signage for group events.
- Coordinate internal meeting requests and scheduling.
- Enter rooming lists for contracted groups.
- Compile and distribute weekly reports, including the 10-day events report.
- Manage sales collateral and ensure materials are up to date.
- Oversee deposit schedules and ensure timely processing.
- Prepare new event file folders for assignment.
- Handle quick-turn events efficiently and professionally.
- Assist with other administrative tasks as needed to support the team.
Qualifications
- Prior experience in an administrative or support role, preferably in hospitality or events.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with Delphi or similar event management software is a plus.
- Excellent communication and organizational skills.
- Ability to handle multiple tasks and meet deadlines in a dynamic environment.
- Strong attention to detail and problem-solving abilities.
- A team player with a positive and professional attitude.
- Two-year Associate's Degree or equivalent experience.
