GROUP SALES COORDINATOR at Destination Geneva National
We are looking for a client relationship rainmaker and sales professional who loves to win - and strategically seize market share. This full-time, year-round role is responsible for attainment of goals tied to the overall performance of two properties. The individual is responsible for actively prospecting and soliciting new business, negotiating contracts, communicating client needs and engaging repeat business for both Geneva National Resort and The Ridge Hotel while achieving revenue goals.
Key daily duties include identifying and developing relationships with prospective clients, maintaining relationships with current partners, listening, effectively negotiating, and selling while exceeding client expectations.
ESSENTIAL JOB DUTIES
Daily tasks include but are not limited to:
Prospect, solicit and close new onsite events, conferences, meetings, retreats, etc.
Follow-up on all assigned incoming inquiries
Coordinate and conduct client site tours
Manage client contract process including negotiation, provisions, and solution selling – capturing all information necessary for execution and billing
Build long-lasting rapport with clients, creating an open dialogue to uncover client expectations and unrealized needs.
Achieve goals by booking onsite events in multiple market segments with an emphasis on association, education, military, fraternal, religious, and other areas of need.
Display excellent verbal and written communication skills
Maintain professionalism consistent with company expectations
Work in conjunction with the Director of Sales to achieve both resorts revenue goals.
EDUCATION/EXPERIENCE
Previous hotel/resort sales is strongly preferred
2-4 year college degree in hospitality management or sales preferred, or equivalent experience and education
ESSENTIAL FUNCTIONS
Primary responsibilities include, but are not limited to, the following:
Solicit and sell groups events/conferences for the two properties
Book event space and overnight accommodations at both Geneva National & The Ridge
Work with the Director of Sales (DOS) and Director of Marketing (DOM) on ideas to target key market segments
Stay connected with groups to contract future conferences/events
Perform tours and site inspections at both properties, participate in familiarization tours
Monitor and evaluate trends within the key market segments
Display excellent verbal and written communication skills
Coordinate with other staff members all details for groups to include event manager, F&B and Golf Operations
Re-book existing groups, including contract negotiation and execution
Prepare contracts and receive /monitor deposits for booked groups
Identify industry trends and propose event offering changes and modifications to remain competitive and relevant in the marketplace
Attend sales and other meetings. Identify obstacles and weaknesses, share competitive challenges, and suggest potential new practices
Attend industry events and trade shows (as determined by DOS) to prospect for new business
Communicate client expectations to event staff to ensure seamless level of service for clientele
Maintain detailed records, files and notes and preferences in Delphi for communication throughout the property
Occasionally assist with detailing responsibilities if business dictates
Keep work area and files in a neat and orderly manner, as other staff members share clients and files
Possess knowledge of hotel and golf operating systems that include but are not limited to: Delphi/SalesForce, V1 and Tee Sheets
Approach all encounters with guests and employees in an attentive friendly manner.
Perform special projects as needed
SUPPORTIVE FUNCTIONS
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of the time performing each function to be solely determined by the director based upon departmental, golf, catering and hotel needs.
Attend all hotel required meetings and trainings
Perform other duties as requested by management
WORKING CONDITIONS AND PHYSICAL DEMANDS
40-60 hours a week – schedule based on group / department needs. Management level associates are expected to work as much of each workday as is necessary to complete their job responsibilities.
Prime time selling hours are key but vary as groups dictate, including evenings and weekends as needed
8 hours per day sitting desk/computer; stand and walk occasionally throughout workday
