Job Title: Administrative Assistant

FLSA Classification: Non-exempt

Weekly Hours Expected: 40 (M-F, variable schedule between 7:30 and 5:30)

Reports to: Administrative Assistant Team Lead and Executive Director

Job Description

Summary/objective

This position provides administrative support for the agency. Our administrative assistants are often the first point of contact for the clients of Palouse River Counseling. They will provide a welcoming and helpful environment in accord with PRC values. As a team, they will coordinate the services, appointments, and information for all clients. Assists with other work as assigned by Executive Director or supervisor

Essential Functions

  • Provide a welcoming first point of contact to all clients of Palouse River Counseling
  • Greet clients and prospective clients upon arrival and check-in appointments
  • Communicate with clients and prospective clients over the phone, via email, and in person to coordinate all services, including scheduling and canceling appointments
  • Relay client information to appropriate parties (billing department, counselors, etc.) as necessary
  • Collect all necessary intake information for clients seeking services
  • Assist clients with filling out paperwork and other forms required for services
  • Collect and process client payments according to policies and procedures
  • Work within the administrative assistant team to coordinate all daily tasks to ensure prompt, efficient, and accurate workflow
  • Communicate with the administrative assistant team regarding updates, changes, or other pertinent information for clients, staff, or on various procedures
  • Answer and transfer calls using a multi-line phone system
  • Use an electronic health record to upload client documents, record non-clinical documentation/information on clients, and keep up-to-date contact information
  • Record and verify client insurance information, documenting and reporting any changes, issues, or other pertinent information
  • Maintain a clean and organized front desk area
  • Maintain staff and client confidentiality at all times
  • Conduct self ethically and professionally at all times
  • Perform other job-related duties as assigned by supervisor

  • Excellent verbal and written communication skills
  • Adequate proficiency in Microsoft Office and other computer programs
  • Advanced computer skills with ability to learn new electronic systems easily
  • Abilit to perform with a high level of accuracy
  • Ability to balance multiple projects at one time prioritizing tasks effectively
  • Strong organizational skills and attention to detail
  • Ability to learn quickly and follow written and verbal instructions accurately

Work environment

Office setting with prolonged periods of sitting at a desk.

Physical demands

· Must be able to sit and work at a computer for long periods of time

· Occasionally be able to bend, crouch, and push/pull 0-20 lbs

Required education and experience

  • Highschool diploma or equivalent experience

Preferred education and experience

  • 1-2 years of experience working in an administrative capacity in an office setting
  • Experience working in a mental health or other healthcare setting
  • Experience working in an electronic health system

Work authorization requirements

· Employee must be authorized to work in the United States.

· Employee must pass a satisfactory criminal background check

Job Type: Full-time

Pay: $42,000.00 - $56,000.00 per year
