Administrative Assistant (Part-Time, Flexible Hours)

We’re looking for a dependable and detail-oriented Administrative Assistant to support the Executive Director in a flexible, part-time role. PPROA is a membership-based nonprofit serving the oil and gas industry through education, advocacy, and community engagement. As Administrative Assistant, you’ll play an important role in keeping our operations running smoothly, from supporting membership activities to coordinating events and helping promote Pipeline Magazine.
What You’ll Do:
- Provide executive administrative support—manage schedules, coordinate meetings, and prepare materials
- Maintain the membership database and track reports and advertising
- Perform office management tasks, including supplies, equipment, and organization
- Handle clerical duties such as filing, data entry, invoicing, A/R and A/P, payroll, and document prep
- Prepare and distribute communications including memberships, newsletters, and announcements
- Assist with organizing events and meetings, ensuring all logistics are in place
- Field phone inquiries and assist with records research for both members and the public
- Greet office visitors and provide a welcoming presence
- Maintain confidentiality and handle sensitive information with discretion
- Jump in to support other office needs as assigned
What We’re Looking For:
- High school diploma or equivalent
- Clerical experience, ideally in a manufacturing or industry-related setting
- Experience with SAP and QuickBooks preferred
- Strong written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Access, PowerPoint)
- Self-motivated, team-oriented, and dependable
- Organized, detail-focused, and able to multitask effectively
- Familiar with following policies and procedures with consistency and care
Schedule:
- Part-time, approximately 30 hours/week
- Monday–Thursday: 8:00 AM – 3:00 PM
- Friday: 9:00 AM – 12:00 PM
- Some flexibility is available
