Job Summary
We are looking for an organized, detail-oriented, and proactive Office Manager to join our team. The ideal candidate will have strong administrative skills and experience in office management, preferably in the construction industry. In this role, you will ensure the smooth operation of our office, assist with project coordination, and provide administrative support to both office and field teams.
Duties
- Assist with administrative tasks such as data entry and file management to maintain accurate project documentation.
- Utilize QuickBooks for basic financial record-keeping and invoicing.
- Provide exceptional customer service to clients and vendors, addressing inquiries and resolving issues promptly.
- Support project managers with calendar management, scheduling meetings, and coordinating appointments.
- Proofread documents for accuracy and clarity before distribution.
- Help maintain communication between team members and subcontractors to ensure project timelines are met.
- Perform general clerical duties including organizing files, managing emails, and preparing reports as needed.
Experience
- Previous experience in a clerical or administrative role is preferred.
- Familiarity with QuickBooks or similar accounting software is a plus.
- Strong customer service skills with the ability to communicate effectively both verbally and in writing.
- Proficiency in Google Suite (Docs, Sheets, Drive) for document creation and collaboration.
- Excellent time management skills with the ability to prioritize tasks effectively.
- Experience in the construction industry is beneficial but not required.
