Position Overview
We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support to our executive team while ensuring smooth daily office operations. The ideal candidate is a proactive professional with exceptional communication and interpersonal skills, capable of managing diverse responsibilities efficiently. This role reports to the CEO and will be primarily responsible for assisting him.
Responsibilities
- Manage complex executive calendars, schedule meetings, and coordinate travel arrangements.
- Handle confidential information with the utmost discretion and professionalism.
- Anticipate the needs of the executive team and proactively address potential issues.
- Provide administrative support for board meetings and shareholder communications.
- Oversee office operations, including facilities management, vendor relationships, and office supply inventory.
- Manage office budgets and track expenses to ensure cost efficiency.
- Plan and coordinate office events, meetings, and conferences.
- Handle incoming and outgoing mail and packages.
- Maintain office equipment and troubleshoot technical issues as needed.
- Supervise office personnel and collaborate with HR on hiring and onboarding processes.
Qualifications
- Bachelor's degree or equivalent professional experience.
- 5 years of experience as an executive assistant or office manager or a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional organizational and time management skills.
- Strong attention to detail and a commitment to accuracy.
- Excellent verbal and written communication skills
- Proven ability to coordinate domestic and international travel logistics.
- Ability to multi-task and effectively prioritize competing demands.
- Strong interpersonal skills with the ability to build relationships across all levels of the organization.
- Demonstrated ability to maintain a professional demeanor under pressure and handle sensitive information with discretion.
- A self-starter who can work independently and collaboratively as part of a team.

Salary : $120,000 - $140,000
