Title of the Position(s): Front Desk Receptionist / Administrative Support
Schedule: 9:00 am - 5:30 pm, M-F. No weekends or evenings.
Summary Description: Provide backup to the firm’s lobby/front desk by creating a welcoming environment that is professional, but friendly. The Receptionist duties include handling multiple telephone lines and greeting visitors. The administrative responsibilities include creating, proofreading, and editing all letter correspondence for various departments. Excellent attendance, reliability, and flexibility is required for the front desk. Strict attention to detail is required when creating, proofreading, and editing letters.
Responsibilities include:
- Good front desk professional demeanor and ability to handle multiple phone lines while greeting customers and clients.
- Hard working, punctual, and the ability to work well in a high-volume call and fast paced environment.
- Ability to respond to customer requests in a timely and professional manner to ensure client and customer relations.
- Notifies authority if an unsafe situation arises.
- Creates, proofreads, and edits all letter correspondence as needed.
- Maintains a clean work area.
- Works well with little or no supervision.
- Performs other related duties as assigned by management.
Qualifications and Skills:
- High School Diploma or equivalent required; an Associate’s degree or Administrative Certificate is a plus.
- 2-5 years of consecutive experience in a receptionist or administrative role.
- Excellent attendance, punctuality, and reliability.
- Exceptional telephone manner and ability to project professionalism and courtesy even during stressful and/or high call volume times.
- High team and customer service aptitude.
- Excellent verbal and written communication skills.
- Sense of urgency, attention to detail, ability to multi-task, and work well in a fast-paced environment.
- Knowledge of computers and relevant software applications including working knowledge and proficiency in MS Outlook, Word, and Excel spreadsheets.
- Excellent verbal and nonverbal communication skills.
- Good written communication skills and mathematical abilities.
- Ability to make sound decisions on routine matters and seek guidance from a supervisor in unusual situations.
- Exceptional proofreading skills.
