Job Summary:The Accounts Payable Clerk is a key member of the finance team, dedicated to the accurate and timely processing of accounts payable transactions, including invoice receipt, payment execution, and reconciliation of vendor accounts. This role is essential in maintaining the company's financial stability and contributing to our overall efficiency and success.
Essential Functions of the Position:• Process incoming invoices in compliance with financial policies and procedures.• Perform day to day financial transactions, including verifying, classifying, computing, posting, and recording accounts payable data.• Reconcile the accounts payable ledger to ensure that all bills and payments are accounted for and properly posted.• Verify and investigate discrepancies, if any, by reconciling vendor accounts and monthly vendor statements.• Understand expense accounts and cost centers.• Ensure compliance with internal controls and policies.• Assist stores and warehouse with supply orders.• Collaborate with the Accounting team to improve payment processes.• Processing payment batches for vendors through checks, virtual credit card or electronic payment methods• Open and distribute interoffice mail• Assist with Accounts Receivable as needed.
Knowledge:• 1-3 years Accounts Payable experience.• Understanding of basic accounting principles and practices, especially as they relate to accounts payable processes.• Familiarity with accounting software (e.g., QuickBooks, SAP, Oracle) and proficiency in using spreadsheet programs (mainly Microsoft Excel) for financial analysis and reporting.• Knowledge of applicable accounts payable and finance policies, procedures, and regulations to ensure accurate and compliant financial operations.• Understanding of the end-to-end process of invoice processing, including invoice verification, matching, posting, and payment.
Skills:• Fast and accurate data entry skills to efficiently process invoices and payments.• Ability to analyze financial data, identify discrepancies, and resolve issues promptly.• Skill in managing one's time effectively to meet deadlines and prioritize tasks in a high-volume environment.• Strong organizational skills to maintain records and manage a large number of invoices and payments.• Strong written and verbal communication skills for interacting with vendors, colleagues, and management to resolve issues and report on status.
