As we continue to expand, we are looking for a detail-oriented and proactive Front Desk and Phone Coordinator Support to join our team.
Position Overview:
We are seeking an organized and reliable Front Desk Coordinator Support to assist our Dispatch team in managing and optimizing the daily flow of operations. This role will play a key part in supporting the dispatching process by coordinating schedules, maintaining communication with technicians and customers, and ensuring that jobs are processed in a timely and efficient manner. This role will also support the office in other functions as needed. This is a fast-paced role that requires attention to detail and someone who is great at following directions and multi-tasking. This position has immense room for growth and is what you make of it. It is a great way to get your foot into the door of a good company and work your way up from there.
Key Responsibilities:
- Greet visitors and vendors
- Assist in coordinating the daily dispatch operations, including scheduling technicians, tracking jobs and scheduling equipment deliveries.
- Provide administrative support to the Dispatch team by updating schedules, customer records, and shipment details in our system.
- Monitor real-time GPS system for timecard accuracy
- Handle incoming calls, emails, and messages from customers and technicians, providing updates and addressing any concerns.
- Help with documentation related to jobs, including invoices, reports, and receipts.
- Assist the sales team in the bid process, creating bids and seeing them through into the job completion.
- Assist with maintaining accurate files
- Work closely with team members to improve efficiency and streamline processes.
Qualifications:
- High school diploma or equivalent (additional education or certification in logistics or related fields is a plus).
- Previous experience in a fast customer service based environment is a must!
- Strong communication skills, both written and verbal.
- Excellent organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with dispatching software is a plus.
- Ability to work well under pressure in a fast-paced environment.
- A team player with a positive attitude and a willingness to assist where needed.
- Strong problem-solving skills and attention to detail.
