What are the responsibilities and job description for the Order Intake Specialist position at Paradigm Operating Co, LLC?
The Order Intake Specialist plays a crucial role in maintaining high levels of customer satisfaction and ensuring smooth sales processes. This position reports to the Customer Care Supervisor. This is an in-office position. Daily commuting to our company location in Portland, ME is required. The schedule for this position is Monday-Friday, 8:00am-4:30pm, with overtime as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Works directly with external customers and is responsible for customer service activities by receiving calls, generating standard window quotes, processing requests, answering questions about product, processes, and addressing warranty issues.
- Candidates should have exceptional customer service skills including but not limited to phone etiquette, listening and problem solving.
- Partners with appropriate individuals to communicate customer issues and feedback.
- Has experience in the order entry process.
- Accurately completes all necessary paperwork related to customer orders, including quotes and other relevant forms.
- Review and proof all generated quotes to verify their accuracy.
- Participates in the processing of warranty claims which includes communications with homeowners, contractors and dealers alike via phone and email.
- Has an active role in the delivery manifest process and other daily processes.
- Additional projects as assigned.
JOB REQUIREMENTS
- Solid understanding and previous use of commonly used software programs on Windows OS (Excel, Word, Outlook, and the Internet).
- Is proficient with keyboarding/typing skills.
- Ability to learn order entry procedures, order processing and order inquiry.
- Exceptional organizational and time management skills.
- Ability to work well with others in a small office environment.
- A positive, friendly, and approachable personality.
- Excellent customer service skills including but not limited to listening, verbal, and written communication skills, with professional phone and email etiquette.
- Must exercise a strong desire to be attentive and accurate.
- Ability to work in a dynamic and fast paced environment.
- Ability to work independently and as part of a team.

SUMMARY MINIMUM EDUCATION & EXPERIENCE REQUIRED
- A High School diploma or GED, and a minimum of 1 years’ experience in sales or customer service is required or an equivalent combination of education and/or experience.
- Must have the ability to quickly learn new tasks and become increasingly skilled with multiple software platforms.
PHYSICAL DEMANDS AND WORKING CONDITIONS
While performing the duties of this job the employee must be able to work inside, occasionally work protracted or irregular hours, this position will work closely with others in addition to working alone.
