Federal Grants Technician - Title Department

Location: District Administrative Center

Interim

Purpose Statement

The job of Federal Grants Technician is done for the purpose/s of providing support to the educational process with specific responsibilities for overseeing the federal grant applications and management process; structuring and managing the federal grant budgets; maintaining current knowledge of federal and state program guidelines; and performing general secretarial duties.


This job reports to Director of Federal Programs


Essential Functions

  • Collaborates with a variety of parties (e.g. district personnel, private agencies, Arizona Department of Education, etc.) for the purpose of securing funding to maintain and enhance services and/or programs.
  • Manages grant revisions and renewal narratives within the Grants Management System to ensure accuracy, compliance, and alignment with funding requirements.
  • Compiles data from a wide variety of sources for the purpose of preparing reports.
  • Develops grant application and related documents (e.g. required reports, budgets, specific inquiries, etc.) for the purpose of submitting to the appropriate funding agency.
  • Monitors the financial management of grants (e.g. budget preparation, budget adjustments, expenditures, etc.) for the purpose of complying with all program and funding guidelines of awarding organizations.
  • Participates in meetings, workshops and seminars (e.g. district meetings, state meetings, etc.) for the purpose of conveying and/or gathering information required to perform functions.
  • Performs general secretarial duties for the purpose of supporting office functions.
  • Prepares a variety of documents (e.g. reports, memos, etc.) for the purpose of communicating information and/or creating documentation in compliance with established guidelines.
  • Processes documents and materials (e.g. requisitions, invoices, time sheets, leave requests, private school allocations, etc.) for the purpose of updating and distributing information, authorizing action and/or complying with mandated requirements.
  • Provides technical and resource assistance to staff (e.g. teachers, Title I Paraprofessionals, etc.) for the purpose of conveying pertinent information and ensuring compliance with established policies, practices and regulatory requirements.
  • Reconciles financial data for the purpose of maintaining accurate account balances.
  • Responds to a variety of inquiries (e.g. principals, Title I staff, etc.) for the purpose of providing information and/or direction.
  • Supports the Director of Federal Programs for the purpose of providing assistance with their functions and responsibilities.


Other Functions

Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Responsibility

Responsibilities include: working under limited supervision using standardized practices and/or methods; managing a department; utilization of resources from other work units is often required to perform the job's functions. There is a continual opportunity to impact the organization’s services.


Work Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.


Experience:

Substantial relevant experience, minimum of three years, including an appropriate combination of teaching, supervisor, and other administrative experience.


Experience creating/implementing/monitoring district-wide professional development plans.


Experience coaching school leaders and teams to meet student learning outcomes, demonstrating high levels of learning for all.


Experience facilitating collaborative teams.


Experience facilitating the collaborative team process with multiple types of collaborative teams.


Exposure to Project Momentum GEARS Framework


Experience leading teams to identify essential standards, clarify proficiency, and establish common pacing.


Experience leading teams to build understanding of a balanced assessment system, designing assessments for validity and reliability, and collaborating around results.


Experience leading teams to build shared knowledge about a system of supports, use common assessments to identify students who struggle, develop a response, and take into account other considerations for effective responses.


Experience leading teams to build shared knowledge about team responses that extend learning, identify students who would benefit from extensions or advanced learning opportunities, select strategies to extend learning, and deliver and monitor the impact of extension activities.


Strong content background in ELA and/or Math.


Demonstrated success ensuring all students learn at high levels.


Commitment to helping others and build capacity for effective collaboration within the district.

Proven ability to create professional learning environments with highly efficacious staff members.


Extensive background in Response to Intervention models and resources.


Exhibits a knowledgeable, passionate, and enthusiastic commitment to continuous student improvement with a focus on the district’s instructional priorities.


Significant knowledge of and experience with current research on PLC practices.
