ABOUT THE ROLE

As a Marketing Administrative Coordinator, you’ll provide vital support across multiple areas of our marketing efforts, including internal communications, proposals, content creation, and digital marketing updates. From assisting with proposal submissions and crafting social media posts, to lending a helping hand — sometimes expected, sometimes spontaneous — your contributions will help keep our marketing initiatives running smoothly. This role offers a blend of creativity, organization, and collaboration—perfect for someone who enjoys both structure and innovation.

This part-time position can be tailored for an undergraduate or graduate student intern looking to gain hands-on experience, or for an early-career or experienced professional seeking a flexible, ongoing role.

RESPONSIBILITIES

  • Marketing, Communications, & Administrative Support
  • Coordinate monthly features and format the firm’s internal newsletter.
  • Assist with website updates by resizing project photos for web use, uploading content, and drafting initial narratives and blog post concepts for review.
  • Assist with award submissions by compiling entry materials and tracking deadlines.
  • Help draft marketing materials.
  • Maintain organized digital files and marketing assets.
  • Assist with the logistics of client outreach efforts, including managing inventory, assembling and helping ship Client Welcome Kits, stuffing and mailing holiday cards, and packaging client/consultant gifts for distribution.
  • Proposal Support
  • Assist with the completion and submission of RFQ responses.
  • Prepare annual qualifications packet updates for generic and IDIQ-type RFQs (updating resumes, projects, project lists, consultant information, formatting, etc.).
  • Maintain and update marketing databases (project sheets, team bios, etc.).
  • Prepare envelopes, mailing labels, USBs, and physical copies for shipping when applicable, and deliver packets to FedEx.
  • Interview Support
  • Support interview teams by preparing PowerPoint presentation drafts for interviews with potential clients.
  • Print final interview handouts for meetings and prepare USBs with electronic documents.
  • Content & Social Media Support
  • Draft and schedule social media posts based on existing content guidelines.
  • Assist with content creation, such as basic graphic design, photography, or video editing.
  • Organize and update the content calendar.
  • Monitor social media engagement and analytics.
  • Event & Outreach Assistance
  • Assist with the preparations of industry events (conferences, expo, tradeshow, etc.), client events (groundbreaking, ribbon-cutting, fundraiser, etc.), and community events (Chamber, event sponsorship, etc.), including preparing marketing materials, sending calendar reminders, and gathering necessary collateral for events.
  • Attend specific events, assisting with photography and documentation of project milestones.
  • Office & Administrative Support
  • Monitor the office doorbell system, greeting guests, and accepting deliveries.
  • Maintain the office supply inventory and place orders as necessary.
  • Assist with general office organization and administrative tasks as assigned.
