Paragon is seeking a detail-oriented and highly organized Client Services Associate to provide exceptional direct support to our clients, focusing on delivering a first-class experience. The ideal candidate will be proactive, possess outstanding client service skills, and be comfortable managing a variety of client-related administrative, operational, and compliance tasks. This role requires a strong ability to work independently, prioritize tasks, and contribute to a positive and efficient client-focused work environment. This is a full-time position, and the selected candidate will be joining a team of professionals dedicated to client satisfaction and firm success.
Responsibilities:
Client Service & Communication:
- Provide exceptional customer service to clients, handling sensitive financial information with discretion and professionalism, and responding to inquiries promptly.
- Schedule client meetings using Calendly and manage meeting confirmations.
- Prepare necessary documents and materials for client meetings, including account balance summaries and other related materials.
- Maintain accurate and up-to-date client information in the CRM system, and ensure client data is complete.
- Proactively follow up with clients to obtain missing or updated information (e.g., address changes, beneficiary updates).
Document Management:
- File various client documents into the cloud, including account applications, beneficiary forms, legal documents, and transfer paperwork, in compliance with SEC and FINRA regulations.
- Download and manage monthly statements from Schwab and quarterly statements from TIAA, and other custodians as needed.
- Scan and digitize paper statements from Fidelity.
- Prepare and organize investment advisory agreements and other compliance-related documents.
Administrative & Office Support:
- Manage office supplies inventory and reorder as needed.
- Maintain office cleanliness and organization, including managing snacks, dishes, and trash.
- Assist with planning and coordinating client-focused events, such as education seminars and workshops.
- Assist with preparing licensing requirements and renewal documents.
- Coordinate travel arrangements for staff as needed.
- Assist with client billing tasks, such as processing and reconciling invoices
- Schedule and manage internal and external meetings.
- Ensure meeting rooms are properly booked and prepared for use.
Compliance & Regulatory Support:
- Assist with ensuring all compliance documents are prepared, accurate, and filed correctly.
- Stay informed about regulatory changes and support the firm's compliance efforts, specifically related to client documentation.
- Maintain up-to-date and accurate client records.
Internal Coordination & Training:
- Collaborate with advisors and other staff to facilitate smooth client interactions and operations.
- Assist with onboarding new employees by providing necessary documentation and training, specifically on client-related procedures.
- Create and maintain documentation for job responsibilities and processes, focusing on client interaction workflows.
- Train new hires or temporary staff on client service procedures and responsibilities.
Additional Responsibilities:
- Handle ad-hoc tasks as assigned.
- Assist with performance reviews and other HR-related tasks.
- Support special projects and initiatives as needed, focusing on the client experience.
Required Qualifications:
- Strong proficiency in using CRM systems and Microsoft Office Suite
- Excellent organizational, time management, and multi-tasking abilities
- Exceptional attention to detail and accuracy
- Strong verbal and written communication skills

Preferred Qualifications:
- Experience in a client service, administrative, or office support role, within the financial services industry
- Experience working with major custodians such as Schwab, Fidelity, etc.
- Experience using Calendly or similar scheduling software
- Understanding of financial planning processes and terminology
- Working knowledge of compliance procedures in the financial services industry (e.g., SEC, FINRA)
